Job Description

The University Registrar is responsible for overseeing the integrity, security, and accuracy of all student academic records. The role ensures adherence to federal, state, and institutional policies, including FERPA, while managing the operations of the Registrar’s Office. The Registrar supports academic policy enforcement, registration processes, and graduation certification, ensuring that academic records management aligns with institutional goals. This role requires collaboration across departments to enhance services, support student success, and optimize the use of technology for efficient operations.

Responsibilities:

Academic Calendar Management:

  • Oversee the development, coordination, and publication of academic calendars.

  • Collaborate with Financial Aid, SBS, Academic Affairs, and other departments to ensure consistent communication and alignment on key dates.

  • Resolve conflicts in calendar timelines to ensure accurate and efficient scheduling across the university.

Records Management:

  • Ensure the integrity, security, and confidentiality of student academic records.

  • Serve as the FERPA Compliance Officer, ensuring that federal regulations are followed regarding the privacy and access to student records.

  • Supervise the maintenance and timely updates of student records, ensuring that academic data is accurate and properly secured.

Enrollment & Records Maintenance:

  • Oversee and manage all aspects of student enrollment, including registration, drops, withdrawals, and transfer credit evaluation.

  • Ensure that enrollment-related records comply with institutional and legal standards, including FERPA and state reporting requirements.

  • Collaborate with Financial Aid and SBS to ensure that student drops and other record changes are accurately reflected for financial purposes.

Collaboration & Communication:

  • Foster strong relationships with Financial Aid, SBS, and other departments to ensure effective coordination and communication regarding student records and enrollment services.

  • Ensure timely, clear communication with internal and external partners, avoiding fragmented or incomplete messages.

  • Represent the Registrar’s Office in university committees and external professional organizations.

Team Leadership & Development:

  • Lead and develop a team of records and registration staff, providing direct supervision and support.

  • Ensure that staff are properly trained, including cross-training for roles in the Enrollment Services Center (ESC).

  • Provide clear direction to the team on operational expectations, ensuring accountability for both routine and complex issues.

Process Development & Improvement:

  • Develop and refine business processes related to academic records, registration, and graduation to ensure efficiency and quality service.

  • Trains staff on new or updated processes, ensuring clarity and accuracy in their roles. Ensures all processes are documented accurately and timely.

  • Implement process improvements to reduce errors and improve student service delivery.

Technology & Process Improvement:

  • Oversee the implementation and maintenance of software systems that support Registrar functions, such as Banner SIS and Degree Works.

  • Evaluate existing technology solutions and make recommendations for enhancements to improve efficiency and student experience.

Policy & Compliance:

  • Interpret and enforce policies from the Texas A&M System and other governing bodies to ensure compliance within the Registrar’s Office.

  • Collaborate with Institutional Research to compile and submit data reports, including required state and federal reporting.

  • Ensure accuracy in university catalog content, course inventory, and degree requirements.

Graduation & Degree Audits:

  • Manage all graduation-related processes, certifying that candidates meet university degree requirements.

  • Oversee the implementation and ongoing maintenance of Degree Works for student degree audits.

Required Education and Experience:

  • Bachelor’s degree in applicable field.

  • Ten years of related experience in management.
