The Surgery department has an exciting opportunity for a Clinical Business Operations Representative 3 (H) position. The incumbent facilitates the prompt resolution of problems related to pre- and post-care that arise in daily clinical operations. The incumbent performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient care and records. The Clinical Business Operations Representative 3 (H) assists patients in a courteous, efficient and professional manner and ensures adherence to divisional and departmental service standards.

CORE JOB FUNCTIONS                                                                                           

  • Assists the department in managing expectations surrounding pre- and post-patient care.

  • Obtains or reviews all patient demographic information, insurance information, and referral numbers.

  • Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information.

  • Answers multiple telephones for the department: triages incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.

  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.

  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.

  • Provides coverage for responsibilities of co-workers when assigned or as need arises.

  • Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.

  • Maintains confidentiality of all information.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS                                                                                         

  • High school diploma or equivalent required

  • Minimum 2 years of relevant experience

DEPARTMENT ADDENDUM

Department Specific Functions

Answer incoming telephone calls by the 4th ring. Confirm appointments daily Call No Shows daily to reschedule their missed appointments Work on disposition notes to ensure return to clinic appointments have been made Review schedules to confirm appointments are scheduled in the correct slot.  This allows for the new patient slots to be available for new patients. Rescheduling patients affected by PLR clinic closures Respond to secure chat messages sent by providers, nurses and clinic personnel Schedule all patients for appointments with Dr. Kutlu, Dr. Cubas, Jennifer Parra, APRN, Mario Gomez, APRN, Noel Emmanuelli, ND, Margaret Gutierrez, PhD, RD, Alina Miro, RD. Shirley Gazabon, PhD Add all patients in Bariatric Surgery journey to “Exemplo”. Add any visits, comments etc. to track the patient’s progress Verify with insurances all patients for Bariatric Surgery coverage and Nutrition coverage. This is not done by CIV as not all policies have this coverage. Schedule patients for surgery Coordinate/schedule Anesthesia clearance, PCP visits, labs, UGIs etc. Daily monitoring of patients scheduled Work up and schedule patients from the AMB Bariatric Surgery WQ referrals Work up and schedule patients from the AMB Metabolic WQ referrals Schedule patients from online appointment requests Assigned coordinator meets with the patient on their 1st visit with the surgeon to review the process, obtain signatures, schedule all future appointments. The Bariatric Surgery coordinator is the liaison between the patients, providers and clinical team. This requires daily monitoring to ensure patients have had necessary visits, work up etc completed before their Bariatric Surgery Provide patients with educational materials, answer patient questions/concerns, as well as ongoing support throughout the Bariatric Surgery journey. Work with patients that will use “Care Credit” for payment. Enter in Care Credit site. Work with Patient Access for posting in Epic. All self-pay payments are submitted to billing team for proper posting.
