This role exists to ensure clients and visitors are greeted warmly, communications are handled professionally, and important follow-ups don’t fall through the cracks — including re-engagement touchpoints with past clients, as directed.
The Client Ambassador role at Poole Huffman, LLC strengthens the client experience and reinforces the firm’s readiness for high-stakes legal matters. As the first point of contact, this person sets the tone from the moment someone calls, emails, or walks ins delivering a welcoming, polished experience while ensuring messages, next steps, and responsibilities are clearly tracked and owned. The result is simple: fewer missed follow-ups, more consistent client communication, stronger client relationships, and a reputation that reflects the quality of the legal work behind it.
What you’ll do:
- Client Reception: Serve as the friendly and professional face of the firm, greeting clients and visitors and ensuring a warm, organized front-desk experience.
- Communication Management: Answer and route incoming phone calls efficiently using firm systems, ensuring messages and requests reach the right person quickly.
- Conference Rooms + Meeting Support: Coordinate conference room scheduling and meeting arrangements (room readiness, supplies, basic setup) to support smooth client and team meetings.
- Reception Area + Office Readiness: Maintain a neat, welcoming reception area and help track staff whereabouts/appointments to ensure visitors and calls are handled appropriately.
- Office Supplies + Presentability: Monitor office supplies and restock as needed; support overall office organization and presentability so the firm is always client-ready.
- Clerical + Team Support: Provide clerical/administrative support to attorneys and paralegals as needed (scanning, mail handling, document organization, and other support tasks).
- Intake Support (Backup): Serve as a backup for intake-related tasks by gathering essential information and routing it to the appropriate team member.
- Dynamic Role: Adapt to additional responsibilities as needed while keeping reception and client experience as the top priority.
What we’re looking for:
- Customer Service Experience: Previous experience in client service roles, preferably within a legal or healthcare setting.
- Organizational Skills: Strong organizational abilities to manage multiple tasks efficiently and effectively.
- Communication Skills: Excellent verbal and written communication skills to interact with clients and staff.
- Tech Savvy: Proficient in Microsoft Office (Word, Excel, Outlook) and willing to learn new tools such as RingCentral and NetDocuments.
- Professional Demeanor: Maintain a welcoming and professional presence at all times as the firm’s first point of contact.
- Education: High school diploma required; some college coursework preferred.
