Job Summary

The Department of Occupational Science and Occupational Therapy (OSOT) Classroom Support Assistant will provide high-quality, collaborative, daily support to OSOT faculty, external instructors and staff for all of the department's programs: Master of Occupational Therapy (MOT), Rehabilitation Sciences Program and Vancouver Summer Program. This role is integral to the operations and goals of the department as it facilitates program implementation for excellent education delivery.

The Classroom Support Assistant will provide operational, technical, and practical support to assist with the planning and delivery of the Master of Occupational Therapy Program at UBCV. These duties will include room booking, supporting written and practical exam administration, and providing backup support for Learning Management Systems (LMS). As well as, ensuring teaching and learning spaces are set-up for classes; tasks include upkeep, gathering, organizing, and distributing occupational therapy equipment and keeping storage and learning spaces organized and tidy.

Further, the incumbent will liaise with the IT Administrator to assist in ensuring that audio-visual equipment is in place, is maintained, and functions as needed for on-campus, remote, online, and virtual learning. To provide effective and optimal classroom, equipment, and technical support, the incumbent will be required to respond on very short notice and resolve issues and complaints that arise in an efficient, calm, non-confrontational manner. To fulfil the operational requirements of this position, the incumbent will be required to start work at 8:00 am, and must be able to move equipment such as assistive devices, therapy beds, and wheelchairs, as well as move and stack chairs and tables for classroom set-up.


Organizational Status

The Department of OSOT provides the only provincial program for the education of entry-to-practice occupational therapists. Our mission is to create, inspire, and uphold a scholarly community that contributes to the health of individuals and communities through research on occupation and education programs for occupational therapy students, health professionals, and scientists. We aim to further excellence in education and research while upholding a safe, inclusive, high-quality learning environment for students, staff, and faculty. Among our goals is enhancing our relationship with the community of alumni and occupational therapists who are central to our mission, and the public with whom we work.

This position will report to OSOT's Administrative Manager.


Work Performed

Responsible for the daily organization of teaching and learning spaces for the Master of Occupational Therapy (MOT) Program at the Vancouver (Point Grey) Campus, including set-up, tear-down, tidying, and ongoing maintenance of clinical teaching spaces and equipment.

 

Provides operational and technological support during in-person and virtual classes, responding to and resolving issues in teaching spaces with little to no notice. Supports faculty, clinical faculty, guest instructors, and external instructors (including those unfamiliar with UBC procedures) in a prompt, helpful, and courteous manner.

 

Acts as a central point of contact for classroom support staff, course coordinators, lecturers, and instructors regarding teaching space requirements, equipment needs, and curriculum materials. Ensures requests align with established policies and procedures and suggests alternatives where appropriate.

 

Receives equipment lists and teaching space requirements from course coordinators, faculty, and external instructors and ensures all requirements are met.

 

Organizes, monitors, and maintains inventory of clinical teaching and exam equipment (e.g., wheelchairs, lifts, AV equipment). Performs preventative maintenance where appropriate and submits maintenance requests as needed.

 

Submits purchasing requests, orders and receives equipment, tracks expenses, and reconciles purchases to ensure costs remain within allocated budgets, under the supervision and approval of the Administrative Manager.

 

Maintains storage rooms and cupboards for teaching and exam equipment, ensuring spaces are tidy, well organized, and that equipment is accessible and easily located by instructors.

 

Ensures equipment and curricular materials are substantially equivalent across all MOT sites to meet program and accreditation requirements, communicating updates or changes to equipment and processes to all sites in a timely manner.

 

Liaises with Classroom Support Assistants and other curriculum support staff at other sites across the province to ensure consistency, improve processes, and enhance program efficiency.

 

Liaises with MedIT, Digital Solutions, and UBC IT to resolve audiovisual, videoconferencing, and technical issues in teaching spaces, meeting rooms, and exams.

 

Supports the scheduling, room and equipment requirements, and the invigilating of written and/or practical exams under the direction of the course coordinator.

 

Supports the planning and delivery of MOT Program and departmental events, including orientation week and capstone conference, as needed.

 

Where needed, assists the Education Tech Manager in the management of the learning management system, Canvas, and Canvas calendar to ensure the smooth delivery of curriculum particularly communication to students about scheduling updates.

 

Supports the delivery of virtual classes by monitoring technology, managing chat functions, and assisting with breakout groups and student participation as needed.

 

Liaises with building operations to maintain teaching and learning spaces and initiates maintenance and housekeeping requests as required.

 

Supports the Senior Program Coordinator in managing on-site room booking requests from within and outside the department, maintains internal room booking system, and ensures external bookings comply with departmental policies.

 

Monitor and coordinate maintenance of departmental printers, including supplies and service requests.

 

Participates in course, team, and departmental meetings as required and provides feedback to support the development and refinement of policies and procedures to ensure safe and efficient operations.

 

Performs other related duties as required.


Consequence of Error/Judgement
Errors in judgment and communication will seriously impact the reputation of the Department’s Master of Occupational Therapy Program. As the program relies on videoconferencing and AV technology for distributed learning at all program sites, errors or delays in response to these issues could negatively affect students, especially those at distributed sites. Repeated errors of this kind could impact the accreditation status of the distributed MOT program. As well, the program relies heavily on accurate space set up and functional equipment, room bookings, and learning management software. Errors could negatively impact students and instructors to teach and learn to the best of their abilities.

Supervision Received
This position works from general directives of the Senior Program Coordinator, MOT Northern Program Coordinator and the Associate Head of Educational Affairs, and under the direct supervision of the Administrative Director. The position will work in a team environment and liaises with faculty, clinical faculty, external instructors, staff, students, the public, and vendors. As well as working closely with UBC IT Services, the LT HUB and Faculty of Medicine MedIT as appropriate.

Supervision Given
The incumbent will not provide any supervision.

Minimum Qualifications
High School graduation, plus one year of post-secondary education, plus three years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

Minimum of three years related experience or the equivalent combination of education and experience.

Customer service skills and awareness of cultural sensitivities.

Enthusiastic, organized, and responsible - the ideal candidate is able to adapt to working with the different personalities of those who work in the Department and external instructors in order to best accommodate to their needs.

 

Relevant experience includes a demonstrated high level of customer service excellence, some familiarity with audio-visual hardware and software, and experience working with MS Office such as Excel and Word.

Previous Rehab Assistant experience or working with educational professionals and community volunteers, or employment in a college or university will be an asset.

 

Knowledge and experience supporting audio-visual hardware and software procedures and practices.

First Aid/CPR certification would also be an asset.

Physical ability to perform the duties of the job. (e.g., lifting, standing, working at heights, operating patient lifts).

 

In providing classroom support and troubleshooting issues related to audio-visual and classroom equipment, the incumbent will be required to respond on very short notice and resolve issues that arise in an efficient and professional manner. To fulfill the operational requirements of this position the incumbent will be required to have a flexible work schedule and will be working onsite every day. This schedule will still meet the requirements of the standard work schedule (8:00am-4:00pm); however, earlier or later start times will be required based on class schedules. The incumbent must be physically able to lift and move equipment such as plinths, therapy beds, clinical equipment, stacked chairs, etc.
