The Cargo & Trailer Claims Assistant supports the Claims Department in handling cargo loss, cargo damage, and trailer damage claims. This entry-level role focuses on documentation, file organization, deadline tracking, and professional communication with carriers and internal teams.
This position is ideal for someone who is detail-oriented, organized, and interested in learning the transportation and logistics industry.
Open new cargo and trailer claim files in the claims system
Collect and organize required documentation (Bills of Lading, delivery receipts, photos, repair estimates, invoices, etc.)
Request missing paperwork from carriers and internal departments
Maintain clear and accurate electronic file notes
Monitor claim deadlines and follow up as directed
Maintain tracking spreadsheets for open claims and freight holds
Provide regular status updates to the Claims Manager
Communicate professionally with carriers, customers, and internal departments
Assist with scheduling inspections and coordinating repair estimates
Respond to claim-related email and phone inquiries
Assist with freight holds related to open claims
Help prepare basic claim summaries and reports
Maintain organized electronic and digital records
Perform additional administrative duties as assigned
High school diploma or equivalent required
0–2 years of office, administrative, or customer service experience preferred
Strong attention to detail and organizational skills
Proficient in Microsoft Office (Outlook, Excel, Word)
Strong written and verbal communication skills
Ability to manage multiple tasks in a deadline-driven environment
Organized and dependable
