This opportunity entails being responsible for performing routine document controls assignments requiring basic knowledge of document controls principles. Administers the document lifecycle for New Jersey of Transportation (NJDOT) Claim Unit. The Claims Unit Data Entry Specialist is responsible for accurately entering, updating, and maintaining claim information within the organization’s systems. This role ensures that all claim records are processed in a timely manner and meet established quality standards. The Specialist works closely with claims adjusters, supervisors, and other team members to support efficient claim handling.
Job Location: Trenton, NJ (NJDOT Headquarters)
What You'll Do:
- Administers the collection, authorization, publication, storage, retrieval and retention of documents to ensure control and availability of documentation to site personnel.
- Administers the document controls strategy, systems, and policies and procedures including but not limited to the authoring, approval, publishing, version control and archiving of all project or program related documents.
- Maintains the electronic project record files. Copies and scans documents as needed to perform distribution and storage duties.
- Prepares records for inactive storage according to the Records Retention Schedule.
- Supports regular audits of document control processes and procedures.
- May assist in providing training to project personnel regarding document control and record retention policies, procedures, and project management system use.
- Performs other duties as assigned.
What You'll Need:
- Associate's degree in relevant field, or
- In lieu of degree, High School Diploma/GED or equivalent and 2 years document control/document management functions and/or technical administrative support experience
What You'll Bring:
- Ability to think in a detailed and structured manner, with strong attention to accuracy, documentation, and recordkeeping
- Ability to systematically learn and apply NJDOT policies, procedures, specifications, and contract requirements related to claims and disputes
- Excellent organizational and time-management skills to track multiple claims, deadlines, and review milestones in a fast-paced environment
- Effective written and verbal communication skills to support coordination with NJDOT staff, consultants, contractors, and legal teams
- Professional judgment, discretion, and accountability when handling sensitive contractual, financial, and confidential

The approximate pay range for New Jersey is $63,705.19 - $104,244.85. Please note that the pay range provided is a good faith estimate for the position at the time of posting. Actual compensation will be dependent on factors, including but not limited to, the individual’s qualifications, experience, knowledge, skills, and abilities as well as physical work location within the state.
