What You'll Do

Job Summary: The Civil Coordinator shall provide field coordination, quality assurance, and material management support to ensure that all mechanical construction activities and material handling operations are executed safely, efficiently, and in compliance with project requirements, drawings, and specifications. This position will serve as a key interface between engineering, procurement, construction, and quality disciplines to promote seamless execution from material receipt through system completion and turnover.

Primary responsibilities will include but are not limited to:

  • Promote and maintain a safe, inclusive, and quality-focused work environment across all installation and material handling activities.

  • Conduct regular field safety observations, provide real-time feedback and corrective coaching to craft personnel.

  • Ensure compliance with OSHA regulations, company safety policies, and environmental standards.

  • Participate in job safety briefings (JSBs), pre-task meetings, and contractor orientations as required.

  • Perform field inspections of Contractors installations — including foundations, piping, coating/insulation, structural steel, equipment, buildings, and rotating equipment—for compliance with drawings, specifications, and standards.

  • Verify that Inspection and Test Plans (ITPs) are developed, approved, and implemented by the contractor.

  • Conduct a minimum of four (4) Construction Quality Surveillances (CQS) per month on in-progress work and issue reports with findings and recommendations.

  • Identify installation or quality issues, assist in developing corrective actions, and ensure timely resolution by the responsible party (contractor, vendor, or internal team).

  • Support project quality and turnover by tracking inspection and testing documentation and ensuring completeness and traceability.

  • Maintain and submit Construction Daily Logs summarizing work activities, safety observations, manpower, equipment, and progress.

  • Update and maintain Contractor Weekly Progress Tracking Sheets per commodity (e.g., concrete, piping, equipment setting, structural steel).

  • Coordinate the transfer, receipt, and issuance of materials, equipment, and parts between vendors, warehouses, and the project site.

  • Monitor and track all material requirements, ensuring timely delivery and accurate documentation of shipments.

  • Maintain communication with vendors and procurement to resolve shortages, discrepancies, or technical clarifications related to materials and equipment.

  • Verify incoming shipments against packing lists and specifications, ensuring that received materials meet project and quality standards.

  • Maintain a comprehensive Master Material and Equipment Tracking Log, updated weekly, record material status, shipping details, storage location, and installation readiness.

  • Coordinate with warehouse and construction supervision to ensure proper material staging and preservation in alignment with project schedules.

  • Assist in planning and scheduling construction activities to ensure alignment with overall project milestones, budgets, and resource availability.

Ideal Background

Education: High School Diploma or equivalent is required.  Bachelor or Master of Science degree in Construction Science, Building Science or related field from an accredited university is preferred.  

Licensing: No licensing is required for this position.  

Experience: This position requires a minimum 5 years of relevant industrial construction coordination and administration experience.

  • Proficient in the use of Microsoft Word, Excel and Outlook.

  • Ability to perform work outdoors in hot or cold climates.

  • Ability to perform duties while wearing personal protective equipment such as a fire-retardant jumpsuit, safety glasses, ear plugs and hard hat.
