Chief of Staff, Business Systems Product and Engineering

San Francisco, CA, USA Full time

Job Requisition ID #

26WD97286

Position Overview

We are seeking a strategically minded, highly collaborative individual contributor for a Chief of Staff role supporting the VP of Business Systems, Product & Engineering. This role extends executive capacity across Business Systems, Product, Engineering, and Go-To-Market (GTM) Technology teams — driving alignment between strategy and execution, shaping operating models and decision-making structures, and ensuring leadership cohesion across a complex, matrixed organization.

As both a thought partner and execution driver, you will bring clarity to ambiguity, lead strategic planning cycles, and continuously optimize operations to support evolving business needs. We expect this leader to actively leverage AI tools to scale their own impact and champion their adoption across the team. This is a high-impact role requiring influence without authority, strong executive presence, and the ability to unify diverse stakeholder groups around shared priorities.

Responsibilities

  • Serve as a trusted advisor and thought partner to the VP, synthesizing inputs across Product, Engineering, Business Systems, and GTM Technology to drive clarity and alignment
  • Lead strategic planning cycles and facilitate executive discussions, workshops, and decision-making forums
  • Translate strategic priorities into actionable plans with measurable outcomes
  • Identify and resolve organizational friction, misalignment, and competing priorities — surfacing risks early and driving resolution
  • Design and manage leadership operating rhythms, including staff meetings, business reviews, and offsites
  • Establish governance structures, decision frameworks, and accountability mechanisms
  • Define, track, and report on OKRs, KPIs, and quarterly business metrics
  • Maintain visibility into key initiatives, risks, dependencies, and trade-offs across the organization
  • Design and continuously refine cross-functional processes to improve efficiency and scalability
  • Lead and program manage strategic initiatives across the BSPE organization from ideation through execution
  • Coordinate complex cross-functional programs involving Marketing, Customer Success, Finance, Sales Operations, and other stakeholders
  • Own high-priority and time-sensitive initiatives sponsored directly by the VP
  • Orchestrate Quarterly Business Reviews, technical operational reviews, and executive reporting — ensuring leadership has clear performance insights and actionable recommendations
  • Own executive communications including presentations, briefings, updates, and decision logs
  • Translate complex, technical topics into clear narratives for diverse audiences
  • Drive transparency through structured reporting and communication channels
  • Build and maintain strong partnerships with Product, Engineering, Finance, People, Legal, Procurement, and external vendors
  • Support headcount planning, budgeting alignment, and vendor coordination
  • Build and maintain resourcing models to identify capacity gaps and trade-off scenarios
  • Establish repeatable processes for prioritization and resource allocation
  • Foster a high-performing, collaborative, and inclusive team culture; support employee engagement and organizational health initiatives
  • Help define and refine team charters, roles, and priorities

Minimum Qualifications

  • 10+ years of experience in product operations, program management, strategy, management consulting, or Chief of Staff roles within a technology or SaaS environment
  • Proven ability to lead complex, cross-functional initiatives in high-growth or matrixed organizations as an individual contributor
  • Demonstrated success establishing and managing team operating rhythms and organizational governance processes
  • Technical fluency sufficient to hold credible conversations with Engineering, Product, and Architecture leaders — you don't need to write code, but you need to understand how technology organizations work
  • Familiarity with Agile, Scrum, or SAFe frameworks and software development lifecycles (SDLC)
  • Expertise in Airtable or comparable no-code/low-code workflow and automation tools
  • Proficiency with enterprise project and work management platforms such as Jira, Asana, or Monday.com
  • Experience with collaboration and documentation tools such as Confluence, Notion, or Google Workspace
  • Comfort with data and reporting tools (Tableau, Looker, Power BI, or equivalent) to support executive-level insights and KPI tracking
  • Strong analytical and data storytelling skills; ability to produce executive-ready insights and recommendations
  • Practical, hands-on experience using AI tools (such as Claude, ChatGPT, Copilot, or Gemini) to accelerate work — including research, drafting, summarization, and analysis
  • Ability to identify and implement AI-assisted workflows to improve team productivity and operational efficiency
  • Exceptional organizational, facilitation, and stakeholder management skills with a proactive, action-oriented mindset
  • Expert proficiency with Microsoft Office suite (PowerPoint, Excel, Word)
  • Bachelor's degree or equivalent work experience

Preferred Qualifications

  • Experience in GTM technology, enterprise systems, or product/engineering organizations
  • Familiarity with CRM and GTM platforms such as Salesforce or HubSpot
  • Experience driving AI adoption or change management initiatives within a team or organization
  • Familiarity with AI/ML product development lifecycles and the ability to support related engineering and product conversations
  • Exposure to responsible AI principles, enterprise AI governance, or data privacy considerations
  • Experience with prompt engineering or AI-powered workflow automation tools (Zapier AI, Make, or similar)
  • Strong understanding of sales concepts, terminology, and go-to-market strategy
  • Experience supporting financial modeling, budget management, or vendor contract processes
  • MBA or advanced degree
