Job Description

The Change Management Specialist supports the successful delivery of project related change by planning, executing, and embedding structured change management activities across multiple workstreams. The role ensures impacted stakeholders understand, adopt, and sustain new processes, systems, and ways of working, while providing high quality insights, reporting, and change delivery support using modern collaboration and project tools.

Key Responsibilities

Change Strategy & Planning

  • Develop an integrated Change Management Strategy aligned with project scope and objectives.
  • Conduct baseline readiness assessments and identify change gaps.
  • Plan and execute change activities across all phases of the project lifecycle.
  • Maintain accurate planning, activity tracking, and time logging on Jira.

Impact Assessment & Change Mapping

  • Conduct comprehensive change impact assessments across people, process, system, and role dimensions.
  • Map change impacts per business area and monitor simultaneous changes to manage saturation.
  • Identify change risks and provide mitigation recommendations.
  • Maintain impact and readiness documentation using standard templates and reporting tools.

Stakeholder Engagement & Sponsorship

  • Conduct stakeholder analysis and develop targeted engagement plans.
  • Develop and maintain sponsor roadmaps to support effective change leadership.
  • Facilitate business engagement sessions and structured feedback loops.
  • Support stakeholder groups with messaging, coaching, and change reinforcement.

Project Communication Management

  • Develop a project communication plan and create communication content for multiple channels.
  • Use Microsoft 365 tools (Word, PowerPoint, SharePoint, Outlook, Viva Engage) to prepare communication assets.
  • Coordinate approvals and schedule communications in line with the communication calendar.
  • Monitor communication effectiveness through analytics and feedback mechanisms.

Training, Learning & Capability Enablement

  • Conduct training needs analysis and create training plans.
  • Coordinate development and delivery of training materials (presentations, guides, videos, demos).
  • Support business leaders and managers through change coaching and facilitation.
  • Track training attendance, competency uplift, and adoption levels.

Readiness, Adoption & Measurement

  • Perform follow‑up readiness assessments to measure progress and identify gaps.
  • Track and report on change adoption, sentiment, and business feedback.
  • Use Jira dashboards, Excel, Power BI, and Copilot insights to prepare reporting for Project Managers and SteerCo.
  • Recommend corrective actions to address resistance or adoption challenges.

Governance, Documentation & Close‑Out

  • Ensure adherence to governance frameworks and use of standardised templates.
  • Maintain all change documentation on Confluence or approved repositories.
  • Complete end‑to‑end change close‑out activities including lessons learned, sustainability plans, and business handover packs.
  • Provide progress reports to Project Managers and key stakeholders.

Qualifications Requirements

  • Bachelor’s degree in business, Change, Commerce, or related field (advantageous).
  • Change Management certification (Prosci or equivalent) preferred.

Experience

  • 5–7 years in project‑based change management.
  • 5 years’ experience in the Banking or Financial Services industry.
  • Strong experience delivering change in a multi‑project, agile environment.
  • Experience developing training, communication, and readiness solutions.

Skills & Competencies

  • Strong knowledge of change methodologies (ADKAR, Kotter, Prosci).
  • Excellent communication and presentation skills.
  • Ability to use Copilot and similar AI tools to enhance delivery quality and speed.
  • Ability to simplify complex information for diverse audiences.
  • Strong stakeholder management and business partnering ability.
  • Analytical mindset with exceptional attention to detail.

AI & Copilot Fluency (Advantageous)

  • Using Copilot to draft communication messages, insights, and briefing notes.
  • Analysing stakeholder feedback and generating summaries.
  • Creating presentations, training content, and dashboards using AI acceleration.
  • Using AI tools to optimize reporting, sentiment analysis, and documentation uptime.
