The Four Seasons Hotel New York Downtown is looking for a Catering Coordinator who share a passion for excellence and who infuse enthusiasm into everything they do. Our Catering Coordinator has the opportunity to shape guest experience by providing exceptional knowledge and service in support of our world-renowned hotels. This position reports to the Commercial Leaders. Work authorization for the location is required.

Essential Functions:

  • Utilize the telephones and answer calls according to Four Seasons standards.
  • Provide friendly and professional service in accordance with Four Seasons standards.
  • Input bookings, and update bookings activity on a daily basis in CRM system. Prepare accurate correspondence as required.
  • Greet clients and give tours if necessary. Assist with site inspection preparation for Managers.
  • With managers, coordinate event and group arrangements; interface directly with clients as needed to confirm event details, room blocks, special amenities, upgrades, etc.
  • Assist Conference Service team onsite with event execution as necessary. 
  • Prepare and distribute documents including but not limited to contracts, addendums, pickup reports, BEOs, menus, change logs, guarantee reports, amenity cards, group resumes, internal meeting paperwork, menu cards, place cards, pre-con documentation, etc. Create and maintain files for groups. Run all required reports as directed by Director of Sales. Deliver basic graphic design projects and execute printing functions in coordination with Commercial Director following brand standards
  • Prepare Post-Conference reports and review group billing, prepare attrition documentation, process billing adjustments with relevant departments as needed at the direction of Managers.
  • Attend and participate in required meetings.
  • Complete and process purchase orders following Hotel procedure, liaise with vendors as needed to facilitate 3rd party orders. Maintain strong competence to operate computer systems including word processing and spreadsheet software plus other systems (i.e. Opera, Microsoft 360, Golden Sales and Catering, Birchstreet, Meeting Broker, Prism, Canva, etc) and printer and copier machines.
  • Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments. Understand capabilities and limitations of event spaces and facilities to provide resourceful options between client, third party vendors and internally.  
  • Accept responsibility for the health safety and welfare of all areas of the department, guests and employees and to respond properly in any hotel emergency situation.
  • Maintain a clean, neat and organized work area and file storage system.
  • Be flexible and extend job duties to carry out any other reasonable duties and responsibilities within the job capability as assigned, including redeployment to alternative departments/areas if required to meet business demands and guest service needs.
  • Perform other tasks or projects as assigned by the Director of Sales or Commercial Director.

KNOWLEDGE AND SKILLS: 

Skills and Abilities:

  • Excellent reading, writing and oral proficiency in the English language. 
  • Strong interpersonal skills. 
  • Strong problem-solving skills, ability to handle demanding situations and guests. 
  • Elevated level of creativity and attention to detail. 
  • Ability to handle multiple tasks and make decisions in a fast-paced client driven environment. 
  • Ability to work long and irregular hours, holidays, weekends, and evenings. 
  • A sincere willingness to provide service to guests and peers. 

Education/Experience: 

  • College Education preferred , 1 year previous reservations, front office or banquet experience, catering sales or comparable sales experience 

Hourly Rate of pay expectations - $31- $34
