The Catering and Conference Services Coordinator will be responsible for maintaining the administrative organization and effectiveness of the Catering and Conference Service Department. They will provide administrative support, work on special projects, and be proactive and responsive. They will also be responsible for booking and coordinating smaller events.
The ideal candidate will be expected to possess the following skills/attributes:
- Skilled in administrative office management, organization, verbal and written communication, and event management with a high level of creativity and enthusiasm.
- Strong computer skills to include: Word, Excel, PowerPoint, Office and Outlook.
- Perform daily office duties including answering phones, preparing proposals, contracts, create files
- Support the Conference Services teams with Group Resumes, Banquet Event Order Edits, printing menus, preparing for Pre-Conferences meetings, planning site alerts
- Support the Catering team with incoming leads, site tours, merging contracts, menus, greeting guests at events.
- Receive event inquiries via phone/email/website – help pre-qualify based upon shared guidelines, follow up on customer requests, promptly forward leads/inquiries to the appropriate salesperson.
- Maintain orderly inventory of collateral and giveaway items, order office supplies.
- Will help team with qualifying event inquiries via phone or email, printing menus and documents for meetings, managing the weekly internal meetings, creating folders for new bookings, prepare the team for pre-conference meetings and other event team administrative duties.
- Prefer previous hotel administrative experience in the Sales / Catering department or relevant education/degree in the events field
- Bachelors Degree in a related field (Tourism, Events, Hospitality preferred)
- Must possess strong phone/verbal and written communication skills (in English).
- Well organized, detail oriented with excellent follow-up skills.
- Must be customer focused, self-motivated, approachable, professional and able to work with different departments.
- Must be able to support on site and planning visits, working and communicating closely with the clients. This is a guest facing role, as we want to grow our Catering Coordinators into future Managers.
- Must possess a high level of creativity, enthusiasm and flexibility.
- Prefer previous hotel administrative experience in the Sales / Catering department or relevant education/degree in the events field
- Flexible schedule, able to work evenings, weekends, and holidays when needed.
