Canada Payroll Analyst

Huntsman is seeking a highly skilled Payroll Analyst supporting the Canada from our GBS site in Costa Rica. This position will report to Regional Payroll Manager.

Role Overview

The Canada Payroll Analyst is responsible for the end-to-end coordination, validation, and administration of Canadian payroll activities, working closely with internal and external stakeholders.

This role acts as the primary payroll subject-matter expert for Canada, ensuring payroll accuracy, statutory compliance, and year-end reporting across Quebec and Ontario, while partnering with HR, Finance, ADP, and external benefit providers. The position incorporates operational payroll execution, compliance oversight, employee support, and financial reporting responsibilities, reflecting the detailed processes shared during the transition and by key stakeholders. 

In summary, as the Canada Payroll Analyst, you will:

Payroll Operations & ADP Coordination

  • Coordinate bi-weekly payroll processing through ADP Workforce Now, ensuring accurate input, validation, and reconciliation of payroll data for salaried and hourly employees.
  • Maintain and update payroll system data, including tax election, bank information and earnings/deductions. Work closely with HR Employee Lifecycle analysts to ensure master data accuracy when needed.
  • Review payroll registers, identify discrepancies, and work with ADP to resolve issues until payroll data is fully compliant.
  • Prepare and submit payroll journal entries and accruals by department on a bi-weekly and monthly basis.

Time & Attendance Management

  • Work closely with the Pre-payroll Analysts to ensure timesheets and leave requests are reviewed and approved by managers each pay period; follow up as required.
  • Perform manual corrections to time entries or leave balances when necessary, including post–pay run adjustments.
  • Support managers and employees with timekeeping processes and schedule setup for hourly employees.

Terminations, ROEs & Special Payroll Events

  • Prepare Records of Employment (ROEs) and ensure correct termination codes and payments (vacation pay, severance, pay in lieu).
  • Process termination-related payments in compliance with Quebec and Ontario employment legislation, recognizing differences by province.
  • Calculate and process taxable benefits, car benefits, allowances, DPSP contributions, and special earnings.

Year-End, Statutory & Compliance Reporting

  • Coordinate year-end payroll activities, including adjustments, validations, and collaboration with ADP for tax slip preparation.
  • Ensure accurate and timely issuance of T4, RL-1, T4A, and related summaries to employees and authorities.
  • Prepare and submit statutory filings and reports, including Revenu Québec, WSIB (Ontario), CNESST (Quebec), EHT, WCB (Alberta), and annual information returns.
  • Validate source deductions, payroll totals, training cost requirements (Quebec 1% rule), and statutory thresholds.

Reporting, Controls & Cross-Functional Support

  • Produce recurring payroll, headcount, and hours-worked reports by location and department for internal stakeholders.
  • Support Finance and Treasury with payroll-related invoices, accruals, and reconciliations.
  • Contribute to process documentation, internal controls, and continuous improvement initiatives aligned with the HBS Canada HR

Qualifications

You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

The candidate must have an unrestricted right to work for Huntsman in Costa Rica.

Candidates must be willing to work on Mondays, Wednesdays, and Thursdays at our office located in AFZ, Heredia. Additional office days may be required as needed or during corporate visits.

Minimum Qualifications

Education required

  • Diploma or degree in Payroll, Accounting, Finance, or Human Resources, or equivalent experience

Experience required

  • 2+ years of Canadian payroll experience, including Quebec and Ontario

Skills and knowledge

  • Solid understanding of Canadian payroll cycle, legislation, tax reporting, and statutory compliance
  • Bilingual English/French preferred, minimum B2 level
  • Advanced Excel skills and strong attention to detail
  • Ability to manage complex, multi-provincial payroll environments
  • Strong coordination and follow-up skills with vendors and internal stakeholders
  • Confidentiality, professionalism, and sound judgment
  • Comfort operating in a transition or transformation environment

Preferred Qualifications

  • Strong working knowledge of ADP Workforce Now (outsourced payroll model)
  • National Payroll Institute certifications
  • Experience with ServiceNow as a CRM for payroll support
  • Advanced knowledge of ADP Vantage or Workforce Now
  • Advanced knowledge of Workday

Working Environment

  • Office-based role within GBS site supporting Canada payroll operations
  • Interaction with HR, Finance, ADP, and external benefit providers
  • Role may involve coordinating across multiple time zones and handling sensitive employee data
