1. GENERAL POSITION INFORMATION

Position Name: Campus Operations & Safety Coordinator

Classification: Non-Exempt, Benefited

FTE: 1.0 FTE/Full Time

Work Hours: 37.5 Hours per week, Monday-Friday (occasional weekend work and overtime as needed)

Department/Division: Operations/Facilities

Supervisor: Campus Operations & Safety Manager

Location: onsite (8000 NE Tillamook, Portland, OR 97213)

2. POSITION SUMMARY

The Facilities and Safety Coordinator supports the effective operation of campus facilities, safety programs, and front desk services to maintain a safe, efficient, and welcoming environment for students, faculty, staff, and visitors. Working in collaboration with the Facilities & Safety Manager, this role coordinates facility maintenance activities, vendor services, and safety compliance efforts, including emergency preparedness and building security systems. The position oversees front desk operations, including hiring, training, and scheduling student employees, while ensuring a high standard of customer service and campus support. This role also manages key administrative and operational functions such as mailroom services, parking programs, vendor documentation, and facilities records to support overall campus operations. Occasional weekend work and overtime as needed.

3. KEY RESPONSIBILITIES

Safety and Security Management

  • Coordinate response to campus emergencies, including medical and security incidents.
  • Work with the Facilities & Safety Manager to enforce campus safety and security policies and procedures.
  • Coordinate regular inspections and testing of building security systems.
  • Support the development and implementation of emergency action plans, including evacuation procedures.
  • Identify and report safety hazards in a timely manner.

Facilities Maintenance and Operations:

  • Coordinate and monitor activities related to maintenance, cleaning, and other facilities operations.
  • Coordinate maintenance schedules for equipment, systems, and infrastructure.
  • Ensure timely response to urgent maintenance calls and ensure timely resolution.
  • In collaboration with the Facilities Manager, manage relationships with contractors and service providers.

Compliance and Inspections

          Coordinate regular inspections to ensure compliance with health and safety regulations.

Mailroom and Logistics- 5%

  • Receive, sort, and distribute incoming and outgoing mail and packages.
  • Create monthly reports for mailroom, copy center, and front desk operations (Pitney Bowes, USPS, FedEx, Amazon, ODP Business Solutions, Concur).

Other duties as assigned- 5%

Occasional weekend work and overtime as needed

5. POSITION QUALIFICATIONS

Required

Education & Training: High school diploma/G.E.D or equivalent work experience.    

Experience

3+ years working in an office environment, and/or equivalent training.

Related Knowledge, Skills, & Abilities: Professional attitude, excellent written and verbal communication skills, multi-tasking and time-management skills.

Other Qualifications: Proficient in Office 365, TEAMS, and other software-based programs; Ability to lift 25 lbs; Occasional weekend work and overtime as needed

Preferred

Education & Training: Bachelor of Arts in Communications or a related field is highly valued.

Experience: 5+ years operational experience at a University/College where long-term capital planning was a day-to-day operation.

Related Knowledge, Skills, & Abilities: Familiarity and experience with visitor management program/data analysis.
