Business Systems Admin - Assistant Vice President

About the Role

 

iCapital is looking to hire a Business Systems Administrator Assistant Vice President to support and scale the organization’s enterprise applications ecosystem. This individual will span Business Spend Management (BSM), ERP, CLM, CRM, and other core business platforms. This role blends system administration, business analysis, process documentation, and project coordination to ensure operational effectiveness, data quality, and successful delivery of technical initiatives across multiple functions. The ideal candidate strengthens enterprise operations by providing robust, scalable, and well-documented systems and processes. This role enhances data reliability, accelerates project execution, improves cross functional alignment, and ensures that business applications evolve alongside organizational needs.

 

Responsibilities

 

  • Administer and support enterprise business applications, including ERP, BSM, CRM, CLM, and related platforms.
  • Configure and maintain system settings, user roles, permissions, approval workflows, and routing logic.
  • Monitor application health, data integrity, and operational performance; proactively identify stability and process improvement opportunities.
  • Support and coordinate integrations across ERP, BSM, CRM, CLM, payment platforms, and third-party systems.
  • Troubleshoot integration issues, data discrepancies, failed transactions, and workflow breakdowns.
  • Lead requirements gathering with the Finance, Technology, and Operations teams and other stakeholders.
  • Produce clear business requirements documents (BRDs), functional specifications, and solution recommendations.
  • Analyze current-state processes and identify opportunities for automation, optimization, and redesign.
  • Document end-to-end business processes, system workflows, procedures, and operational playbooks.
  • Coordinate and track project activities, including milestones, risks, testing cycles (i.e. SIT or UAT), and stakeholder communications.
  • Act as an escalation point for system issues, performing root-cause analysis and coordinating resolution.
  • Support data governance, access controls, audit readiness, and ongoing compliance with internal controls.

 

 

Qualifications

 

  • Bachelor’s degree in information systems, finance, business, a related field, or equivalent work experience
  • 6+ years of experience supporting enterprise business applications in a systems administration, business systems, or IT analyst role. Experience in the financial services, asset management, or highly regulated industries is preferred
  • Hands-on experience administering ERP and adjacent platforms (i.e. procurement, CRM, CLM, or financial systems)
  • Strong experience with user administration, workflow configuration, and approval routing
  • Proven ability to gather requirements and translate business needs into clear functional documentation
  • Experience supporting system integrations and troubleshooting data flow or synchronization issues
  • Strong understanding of business processes across finance, accounting, and operations
  • Demonstrated ability to document processes, create training materials, and maintain knowledge repositories
  • Experience supporting testing efforts, including SIT and UAT
  • High attention to detail with a focus on data quality, controls, and audit readiness
  • Strong organizational and project coordination skills
  • Excellent written and verbal communication skills with both technical and non-technical stakeholders
  • Experience supporting Business Spend Management (BSM) platforms, ERP financial modules, or payment systems
  • Exposure to SOX controls, audit support, and access governance in regulated environments
  • Experience working with integration platforms or middleware solutions
  • Familiar with Agile delivery models, sprint planning, or backlog management
  • Experience partnering with external vendors or implementation partners

 

 

Benefits

The base salary range for this role is $90,000 to $125,000. iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus.
