The Opportunity

This position works out of our Latvia, Riga location in the Abbott office.

This role provides essential administrative, documentation, and coordination support to enable smooth daily operations and effective cross‑functional collaboration. It ensures that business processes, events, and documentation flows are executed efficiently, accurately, and in full compliance with Abbott policies and quality requirements.

Main Responsibilites:

1. Administrative & Executive Support

• Perform core administrative functions, including scheduling meetings and coordinating international travel.

• Manage correspondence, schedule couriers, and process expense and fuel reports (including internal Environmental-Health-Safety reporting).

• Prepare business documents, support teleconferences, and basic IT coordination.

2. Documentation, Contract & System Management

• Support preparation and submission of tender documents.

• Support distributor‑related documentation and coordination with distributors and third‑party providers.

• Assist in managing contracts and customer‑related documentation, working with cross‑functional teams on content and approvals.

• Ensure proper internal document flow, follow‑up, and archiving in line with internal policies.

• Input documents into internal approval, reporting, and management systems.

3. Compliance, Policies & Internal Procedures

• Ensure all activities comply with Abbott policies, quality system requirements, and relevant regulations.

• Maintain documents, files and records in compliance with corporate and government standards.

• Follow purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines.

4. Event, Congress & Meeting Coordination

• Support planning and organization of congresses, meetings, and internal/external events, ensuring ethical integration and compliance with Abbott requirements.

• Coordinate logistics, vendor communication, attendee support, and on‑site arrangements.

• Provide administrative support for event‑related budget tracking and reporting.

5. CrossFunctional & HRRelated Support

• Provide basic HR transactional support (e.g., insurance communication, holiday tracking), escalating to HR Business Partner when required.

• Support onboarding activities and orientation to new staff.

• Apply basic to intermediate knowledge of business processes and software tools.

Experience/Background required:

• Knowledge of Microsoft Office (Word, Excel, PowerPoint) and experience using Outlook.

• Ability to learn and apply new business software tools and systems with guidance.

• Comfortable working in a matrixed and geographically diverse environment.

• Ability to work both independently and as part of a team in a fast‑paced, changing environment.

• Clear and professional verbal and written communication skills, with the ability to interact effectively with colleagues at different levels.

• Ability to multitask, prioritize work, and meet deadlines with appropriate support.

• Strong organizational skills, attention to detail, and willingness to follow up on tasks.

• Collaborative team player with a proactive attitude and willingness to support others.

• Fluent (spoken and written) English and fluent Latvian
