Job Title: Business Support Executive Assistant (Dedicated to TBS Leadership Team)

We are seeking a highly organized, proactive, and resourceful Executive Assistant (EA) to support the up to 4 TBS Leadership Team (LT). As a key supporting member of the organization, the EA will ensure seamless operations of administrative and strategic activities by managing calendars, travel arrangements, expense reports, meeting coordination, and other vital tasks. This role demands exceptional attention to detail, commitment to professionalism, and collaboration across teams and stakeholders.

Required Skills:

  • Exceptional organizational and time-management abilities.
  • High-level proficiency in documentation and record-keeping (e.g., meeting minutes).
  • Strong multi-tasking and prioritization skills.
  • Proactivity and problem-solving mindset.
  • Effective communication and interpersonal skills.
  • Attention to detail and commitment to delivering high-quality results.
  • Familiarity with travel, expense, and calendar management tools.
  • English at an advanced level, both written and spoken. German is welcome but not required

Preferred Qualifications:

  • Previous experience in executive-level administrative roles.
  • Background in supporting cross-functioning leadership teams.
  • Finding your way around a changing work environment
  • A proven ability to collaborate globally and within EA communities.

Reporting & Employment Structure

This Executive Assistant will:

  • Report directly to: Monika Madejska (Business Support Lead)
  • Provide dedicated support to: TBS Leadership Team
  • Employment Type: Third Party contract, fostering long-term commitment.

This job description highlights the essential activities outlined, emphasizing dynamic, professional, and detail-oriented support for the TBS Leadership Team. Hybrid work model tailored to the requirements of the position 2-3 days in the office per week to be approved by Manager. The assistant position is dynamic and the submitted JD is a description of general activities that can be evaluated depending on the needs.

Building a vibrant and collaborative TBS Assistant Community that thrives on mentoring, teamwork, and shared commitment. Experienced assistants will help onboard and train new team members, fostering skill development and mutual support. Regular meetings and communication channels will ensure cooperation and exchange of best practices, while targeted initiatives will highlight the importance of assistants in achieving TBS goals and create a strong sense of belonging. Continuous professional growth will be supported through specialized training opportunities and e-learning resources. Additionally, assistants will work proactively to streamline administrative tasks, increase efficiency, and explore AI-driven solutions for automation. By participating in global forums, the community will also promote the professionalism and global recognition of TBS assistants.
