In this role, you will be responsible for the following:
Plan and coordinate executive and senior leadership conferences and events.
Coordinate domestic and international travel and visitor logistics (itineraries, travel agent liaison, car hire, and foreign exchange).
Support budget preparation and tracking as required.
Manage complex calendars, scheduling and logistics for internal and external meetings, including senior leader and customer engagements.
Oversee office and operational administration for the leadership team, including vendor and facilities coordination, access / visitor requirements, and escalation of service requests to ensure a seamless executive work environment.
Provide ad-hoc project coordination and stakeholder support, including communications and event-related engagement as needed.
Process expenses and reconcile corporate credit cards (Concur) to ensure accurate and timely submissions.
Raise purchase orders, submit requisitions, and follow up on invoice payments in SAP in line with company policy.
Provide high-level administrative support to the GM and senior leadership team, ensuring confidentiality and effective day-to-day operations.
Take minutes and coordinate meeting documentation, including distribution of actions and management of pre-read materials.
Maintain organized records and digital filing systems (including MS Teams / SharePoint) to enable quick and accurate information retrieval.
Maintain and consolidate BU project trackers (timelines, milestones, and resource allocation) for visibility and reporting.
Serve as the primary point of contact for departmental requests, directing queries and information to the appropriate stakeholders.
Prepare for key meetings by coordinating agendas, pre-reads, materials / scorecards, meeting spaces, and required technology; manage related meeting budgets where applicable.
Draft and format correspondence, reports, and presentations for senior leaders, applying sound knowledge of policies, processes, and business terminology.

To succeed in this role, you will need the following:
MINIMUM REQUIREMENTS
7 years or more administrative support in a corporate environment, supporting executive level leaders (i.e. GM, Directors).
Outstanding ability to develop and maintain positive and effective interactions and working relationships at all levels, including senior management and global partners, both verbally and in writing.
The flexibility and resiliency to work well under pressure, maintain confidentiality, and quickly adapt to rapidly changing needs and priorities.
Advanced Microsoft Office skills incluiding Outlook, Word, Excel, PowerPoint, and SharePoint.
Ability to gain full working knowledge of the company’s structure, key personnel and organizational policies and procedures.
Microsoft Teams, Zoom, SAP, Workday and web based (Concur) travel and expense reporting system knowledge is a plus.
