Budget/Business Technician

The USC Educational Partnership programs are currently seeking a highly skilled and dynamic Budget/Business Technician to join our team immediately! The chosen candidate will offer comprehensive administrative and financial assistance to the different Educational Partnership programs and the Associate Senior Vice President.

One of Educational Partnership’s central programs, the Leslie and William McMorrow Neighborhood Academic Initiative established in 1989, is an all-encompassing educational and social-services program designed to help low-income, at-risk students and their families. The program provides seven years of accelerated classes, Saturday schooling, and college counseling, starting in the sixth grade. Successful program graduates who meet USC’s competitive admissions standards are rewarded with a full, four-and-a-half-year financial package for their undergraduate education.

Among the multiple, historic community outreach programs and inititatives under the Educational Partnerships K-12 department, an example of transformational programming is the Leslie and William McMorrow Neighborhood Academic Initiative (NAI) program. Expectations are raised for local youth, and the neighborhood culture is transformed by empowering students to apply to college and excel academically once they are accepted. The chosen candidate will collaborate closely with the Budget Business Analyst and Associate Senior Vice President of Educational Partnerships to oversee all financial matters. They will be responsible for disseminating information to the staff regarding university financial policies and procedures, aiding staff in financial transactions such as purchasing equipment and supplies, accounting for travel expenditures and reimbursements, and coordinating purchasing activities. Additionally, the candidate will be required to interact with vendors as necessary. The Budget Business Technician will play a supportive role within the Finance & Operations team at the HSC site, and they will help maintain the financial and operational structure of the organization by fulfilling accounting, administrative, and bookkeeping duties.

This position is funded by a [contract/grant/gift] and may be funded by a subsequent [contract/grant/gift]. Accordingly, your position is contingent upon receipt of the necessary funding from this or any subsequent [contract/grant/gift] to continue employment. In the event funding for your position changes and it becomes necessary to adjust your percentage of effort, or it becomes necessary for your employment with the University of Southern California to end, you will receive one (1) month written notification of termination

Responsibilities:

  • Perform bookkeeping tasks such as managing accounts receivable and accounts payable, processing disbursements, making bank deposits, assist in monitoring the budget.

  • Monitor expenditures throughout the budget period and generate monthly financial reports to provide details on the status of receivables and expenditures.

  • Keep track of blanket requisition charges and itemize expenses while also monitoring equipment purchases and obtaining maintenance contracts.

  • Maintain office supply inventory by ordering, tracking.

  • Assist with on-boarding contractors and vendors, collecting and preparing associated paperwork, and following up on any inquiries or issues.

  • Help with tracking capital item inventory and equipment location.

  • Keep track of leases, expiration dates, and contracts.

  • Conduct periodic audits of purchase orders.

  • Produce financial reports as needed for grants.

Preferred Qualifications:

  • Preferred Education: Bachelor’s degree, or combined experience/education as substitute for minimum education.

  • Preferred experience: 2 years

  • Requires strong interpersonal and communication skills (verbal and written), a strong financial and accounting acumen, ability to follow through with assigned tasks within established timeframes and with minimal supervision in a fast-paced environment, and exceptional focus on attention to detail and accuracy.

  • Must be skilled in the use of the Microsoft Office Suite especially Excel.

  • Applicant must ensure confidentiality when dealing with sensitive information, including but not limited to staff and student files.

  • Project management skills, research financial management skills, and financial experience.

  • Knowledge of Workday Financials is a plus.

  • Knowledge of Concur and Salesforce is a plus.

The budgeted hourly range for this position is $24.00 - $27.00. When extending an offer of employment, the University of Southern California considers factors such as the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer alignment, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
