Description:
The Booking Verification Specialist supports the Commercial Teams by assisting in the accurate and compliant processing of deals throughout the verification lifecycle. This role is crucial for ensuring that foundational deal details align with internal policies and documentation requirements. The Specialist plays a supportive role in validating information, contributing to the efficiency and accuracy of the opportunity-to-revenue transition, and learning the intricate processes involved in complex, multi-solution, and multi-country opportunities.
Key Responsibilities:
Global Compliance & Process Adherence: Adhere strictly to internal processes for booking verification, meticulously documenting any basic discrepancies or issues for escalation and resolution by senior team members.
Opportunity-to-Revenue Verification: Oversee and meticulously verify the opportunity-to-revenue processes. Ensure accurate attachment of all required documentation, including pricing approvals, quotes, schedules, contracts, and Statements of Work (SOW).
Data Accuracy & Validation:
Assist in verifying that all required contracts, SOW, and related documents are accurately completed, signed, and aligned with company policies and deal requirements.
Confirm pricing documents and details match agreed terms and company pricing policies, thoroughly reviewing discounts or special pricing for accuracy and proper approvals.
Ensure the Total Annual Amount (TAA) is accurately reflected, complies with internal standards, and is validated in the attached opportunity documents, addressing any deviations.
Verify that the length of the term is accurately documented and consistently matches across all related documents.
Validate the correct calculation of Total Contract Value (TCV), ensuring it reflects the complete deal scope and cross-checking with pricing and contractual terms.
Confirm all primary and opportunity products are documented, aligned with sales agreements, and that product details and quantities match the contract.
Communication & Learning: Keep internal customers informed with regular updates on the status of open opportunities, under supervision. Actively learn about global booking policies and Iron Mountain procedures relevant to the opportunity-to-revenue cycle. Collaborate effectively within the team and learn from more experienced colleagues.
Map and document existing sales and Deal Operations Center (DOC) processes, creating and maintaining a comprehensive process repository to ensure all information is accurate, current, and easily accessible for stakeholders.
Process Improvement & Problem Solving: Proactively identify and address bottlenecks, inconsistencies, and opportunities for process improvement to enhance overall efficiency. Resolve conflicts and problems independently using advanced critical thinking skills.
Drive improvement initiatives to streamline sales and operational processes, to minimize manual checks, improve accuracy, and increase efficiency across the sales organization.
Qualifications:
Language Proficiency: Mandatory fluency in English; preferred fluency in other international languages, with superior proficiency in both written and oral communication.
Education/Experience: A University Degree (business, economics) in a related field is preferred. 2+ years of experience in a senior sales support function is required.
Basic Analytical Skills: Self-motivated, critical thinker with the ability to recognize and identify process breakdowns or non-standard situations, providing insights, feedback, and solutions. Must be able to employ and activate advanced reading, writing, and analytical skills.
Attention to Detail & Organization: Exceptional attention to detail, ensuring complete and accurate documents throughout the entire opportunity lifecycle. Exceptional organizational skills, including prioritization, scheduling, time management, responsiveness, and a sense of urgency to manage multiple concurrent Service Level Agreements (SLAs).
Collaboration & Global Acumen: Prior experience collaborating across multiple teams and working across multiple time zones. Understanding of multi-country/global sales processes and adherence to internal procedures and SLAs.
Interpersonal Skills: A positive team player and effective communicator with all levels of management and cross-functional organizations. Ability to excel in a diverse work environment and communicate with individuals from various educational and socioeconomic backgrounds.
Project Management: Ability to manage projects through delegation and follow-up skills.
Technical Aptitude: Familiarity with standard office software and comfort with learning new internal systems.
