Job Summary

A core member of the Office of the Corporate Secretary, this role plays a hands‑on part in supporting the Company’s highest level of leadership. You’ll help coordinate and execute board meetings end‑to‑end, gaining direct exposure to executive decision‑making and corporate governance at a strategic level. The role offers meaningful responsibility, visibility with senior leadership, and a strong foundation in corporate governance and executive operations.

Job Description

What You'll Do:

  • Assist with the planning and coordination of Board meetings and other Board‑focused events
  • Coordinate Board travel and meeting logistics, including scheduling flights and ground transportation, managing hotel accommodations and room blocks, developing menus and ordering catering, and organizing support teams
  • Research and process expense reports, invoices, and retainers
  • Assist with the compilation of Board and committee books, including formatting materials and ensuring version control
  • Draft minutes and routine correspondence for review
  • Maintain corporate minute books and filing trackers
  • Support routine filings and document‑retention execution processes
  • Travel overnight up to 25% as required

What We're Looking For:

  • Bachelor’s degree or equivalent; Law/Business preferred but not required
  • 1+ year of administrative or governance‑related experience
  • Strong project management skills
  • Proven ability to stay organized, responsive, and composed amid frequent last‑minute changes and evolving Board and executive needs
  • Demonstrated confidentiality and sound judgment
  • Strong attention to detail
  • Proficiency in Microsoft Office, including Excel, PowerPoint, and Word

Other Must Haves:

  • Process improvement (efficiency, accuracy, consistency, and streamlined Board workflows)
  • Technology proficiency (Board portals such as Diligent/Boardvantage; document management systems)
  • Corporate recordkeeping (minute books, charters, bylaws, resolutions, and statutory filings)
  • Communication and drafting (clear, concise minutes, corporate resolutions, and stakeholder communications)

Compensation Range:

$30.53 - $38.16
