This role is responsible for the thoughtful planning and seamless execution of board and executive‑level meetings and events that enable strategic decision‑making, uphold governance excellence, and strengthen relationships across the Wake Area. The position requires exceptional organizational acumen, sound judgment, discretion, and a high standard of professionalism - qualities essential to engaging confidently with senior leaders and our Board of Directors.

This is an outstanding opportunity for an experienced, polished professional to lead governance operations with precision, ensure an exceptional executive experience, and meaningfully contribute to the long‑term operational success of Atrium Health Wake Forest Baptist.

Initially, the role will provide dedicated support to the organization’s primary governance body, the Wake Forest University Baptist Medical Center Board, with the opportunity to expand in scope to include additional foundation boards, community advisory boards, and Wake Forest University health committee.

Essential Functions

  • Lead the planning, coordination, and delivery of board and executive‑level events that reflect the standards and mission of Advocate Health.
  • Direct complex event logistics, including venue selection, vendor coordination, AV/technology needs, catering, lodging, transportation, and executive travel.
  • Develop comprehensive event timelines, run‑of‑show documents, and briefing materials for high‑stakes meetings.
  • Collaborate with key partners across operations, event services, and communications teams to ensure consistent, high‑quality outcomes.
  • Support leadership communication needs in partnership with Executive, Corporate, and HR Communications.
  • Manage event budgets, ensuring cost‑effective planning and responsible financial oversight.
  • Assign and coordinate staff responsibilities to ensure adequate support during event preparation and onsite execution.
  • Conduct post‑event evaluations, manage surveys, oversee financial reporting, and ensure timely invoice processing.
  • Assist in the development and implementation of standard governance processes to enhance efficiency and consistency across boards.

Education, Experience, Licensure & Certification Requirements

Education

  • Bachelor’s degree in event management, marketing, business administration, or a related field.

Experience

  • Minimum of 5 years of progressive experience in event planning, project management, or executive‑level operations.
  • Experience supporting C‑suite leaders, board members, or senior governance bodies strongly preferred.
  • Demonstrated ability to manage complex, high‑profile events requiring discretion and operational precision.

Knowledge, Skills & Abilities

  • Exceptional organizational, planning, and project‑management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills appropriate for board and executive audiences.
  • Demonstrated judgment, professionalism, and ability to maintain confidentiality.
  • Proficiency in Microsoft Office Suite; familiarity with board‑management platforms (e.g., Diligent) preferred.
  • Ability to work independently while building effective partnerships across the organization.
  • Flexibility to work evenings, weekends, and holidays in support of board and executive events.

Shift / Schedule

8:00 AM – 5:00 PM
Hybrid role; minimum of three days per week on-site.
