Billing Assistant focuses on the accurate and timely processing of international invoices in a fast‑paced, detail‑oriented environment. You will be responsible for reviewing invoice data, validating vendor information, ensuring correct invoice numbers and addresses, and identifying discrepancies before they impact financial reporting. A key part of the role involves investigating issues, tracing errors to their source, and collaborating with internal teams to resolve them efficiently. You will maintain up‑to‑date billing records, support vendor setup, and ensure compliance with internal policies and procedures. Experience with billing systems such as Legal Tracker is an advantage.


 

As a Billing Assistant, you will be responsible for:

  • Processing international invoices accurately and efficiently.

  • Ensuring all billing data is correct and up-to-date.

  • Investigating and resolve billing discrepancies and issues.

  • Preparing and maintaining detailed billing records and reports.

  • Collaborating with international departments to ensure smooth invoice processing.

  • Adhering to company policies and procedures regarding billing and invoicing.

  • Utilizing billing software, including Legal Tracker, to manage invoice processes.

  • Providing support to the finance team with various administrative tasks.

To be successful in this role you will need to:

  • Bring a minimum of 5 years of billing experience in a global matrixed organization.

  • Have strong problem-solving skills and a keen eye for detail.

  • Have excellent organizational and time management abilities.

  • Be self-motivated with the ability to work independently.

  • Have effective communication skills to liaise with international departments.

  • Be fluent in English (B2+) and Polish (C1)

  • Experience with Legal Tracker would be a significant asset.
