About the Role

The Business Support Specialist role will report to the Physical Security Operations Manager, with a daily reporting line into the Lead Business Support Specialist for day-to-day operational direction. They will work with internal and contract team members to contribute to a best-in-class physical security and reception program that consists of systems, policies and procedures with the objective of increasing company security adherence, awareness, creating a safe working environment, and remaining compliant with applicable regulatory bodies.

This position will have responsibility to execute day-to-day administrative tasks that help support the general employee population and visitors at our corporate Canadian locations, as well as contribute to the broader physical security program within the Physical Security and Crisis Management (PSCM) Team. This includes operational execution of daily tasks, including company bilingual switchboard operations, greeting and signing in visitors, providing support to employees with access requests and business tools, assisting walk-in Clients with questions and concerns regarding their policy / claims, as well as various other initiatives and projects across PSCM. This position will also support strategic initiatives and projects, including the continued evolution of the program.

This position will directly interact with peers in other business groups such as, Client Advocacy, Executive Assistant’s, and Human Resources.

What will you do?

  • Provide first-class customer service in the execution of day-to-day business support operations, including:
  • Company bilingual switchboard operations
  • Greeting and signing in visitors.
  • Providing support to employees with access requests and business tool needs.
  • Assisting walk-in Clients with questions and concerns regarding their policy / claims.
  • Administrative support for our Government Plans Security Program.
  • Various other initiatives and projects from across the physical security team.
  • Contribute continuous improvement ideas and solutions for the team to track and implement.
  • Collaborating with internal business partners as required, through operational virtual chat groups, email and by phone.
  • Specific assistance with a variety of initiatives and projects related to the broader PSCM Team.
  • The creation and maintenance of knowledge documents for the business support program.
  • Support of strategic initiatives and projects within the business support program, including the continued evolution of the program.

What You Need To Succeed

  • Bilingualism (French, English, both oral and written) is required for the frequent interactions with English and French-speaking colleagues or internal partners across Canada and worldwide.
  • Post-secondary education is an asset.
  • Minimum of 5 years of experience within a corporate, government security or risk department for a similar organization of comparable size and complexity.
  • A recognized professional designation is an asset.

Preferred Skills

  • Fundamental knowledge and experience in the delivery of first-class customer service and hospitality standards.
  • Enthusiastic personality with a curious mind-set.
  • Understanding of organizational priorities and relationships.
  • Proficiency with Microsoft Word, Excel and PowerPoint, as well as Sharepoint and One Drive.
  • Strong French and English written and verbal communication and organization.
  • Ability to attend to tense situations that are sometimes emotionally driven.
  • Demonstrated sensitivity to issues of ethics, diversity, equity and harassment in the workplace. 
  • Willingness to collaborate.

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
