The Benefits Specialist will support day to day administration of benefits programs. The Benefits Specialist will report to the Benefits Lead.
Responsibilities and Key Accountabilities
- Monitor “LOA Inbox” – answer TM questions on BJs disability, state disability (if applicable), FMLA federal eligibility (dependent on state), process (internal, state, disability). Be able to determine when an issue needs to be escalated to management.
- Monitor “Benefits Inbox” daily and respond to team member and management questions/inquiries, answering general benefits questions. Be able to determine when an issue needs to be escalated to management.
- Work with Payroll on a daily / weekly basis to ensure timely payroll processing as it applies to certain leave and benefits situations.
- Researches and provides solution recommendation to escalated benefits issues involving third party administrator Alight, payroll and Workday HRIS teams.
- Investigate benefit concerns or issues and provide accurate, data-driven responses.
- Research team member issues using internal tools, online resources, and collaboration with other departments.
- Assist in preparation of annual benefits Open Enrollment, including communications, Alight testing and year end validation activities.
- Leave of Absence tasks will include working with HRBPs on trainings or any specific Team Member guidance. This role will also be assisting Payroll with pay inquiries relating to leaves.
- Update return to work from leave status in Workday.
Qualifications
Knowledge
- General understanding of benefits, insurance, time off, retirement programs.
- General understanding of leave of absence regulations and laws – federal and state.
- General understanding of leave of absence administration with a third party vendor.
- General understanding of disability administration with a third party vendor.
- Workday experience a plus.
Customer Service
- Serve as the first point of contact for team member issues, ensuring they are addressed and escalated appropriately.
- Respond to team member inquiries via phone call, email, chat, and other communication channels in a timely and professional manner.
- Provide accurate information and solutions to team member questions, complaints, and requests.
- Demonstrates emotional intelligence and conflict-resolution skills to manage and resolve sensitive or high-stress team member interactions.
Research, Judgement and Problem Solving
- Ability to exercise independent judgment and initiative within established guidelines.
- Demonstrate a sense of urgency, strong time-management and prioritization skills.
- The ability to effectively manage sensitive and confidential information.
- Identify trends or recurring issues through research and report findings to management.
Communication
- Skilled in handling difficult customer interactions with empathy and professionalism, effectively de-escalating tense situations through clear and calm communication.
- Manage incoming and outgoing email correspondence with team members and internal teams.
- Draft, proofread, and send professional responses using consistent and clear language.
- Organize and track email communications to ensure prompt follow-up and resolution.
Collaboration
- Collaborates with others in a team environment – internal benefits team, internal payroll team, disability vendor, leave vendor.
- Excellent written, verbal, listening capabilities and attention to detail.
- Offers solutions in a positive problem solving manner.
- Use tools and resources (vendors, Benefits Administration system, Workday) to handle inquiries efficiently
Requirements
- Bachelor's Degree in Human Resources or Business Administration
- At least two years of relevant benefits experience or equivalent work experience
This is a hybrid role. Tuesday through Thursday are in-office days at BJ's Club Support Center in Marlborough, MA and Monday and Friday are remote days.
In accordance with the Pay Transparency requirements, the following represents a good faith estimate of the compensation range for this position. At BJ’s Wholesale Club, we carefully consider a wide range of non-discriminatory factors when determining salary. Actual salaries will vary depending on factors including but not limited to location, education, experience, and qualifications. The pay range for this position is $56,500.00 - $72,000.00
