The Pension and Benefits team is a centre of expertise developing and delivering the MUFG Reward Strategy. The team is part of the Reward team which sits within the HR Division providing support and service to all employees across the business. MAIN PURPOSE OF THE ROLE 
Provide support on Pension and Benefits matters to the business, HR function and Pension and Benefits team. Assist with delivering the agreed Pension and Benefits processes across the EMEA region in order to contribute to the creation of a successful high-performance culture. 


KEY RESPONSIBILITIES

  • Work closely and collaboratively with AskHR and Payroll to ensure smooth running of the Pension and Benefits plans and improve processes where possible. 
  • Additional duties as required to support the Benefits AVP, Benefits VP and Head of Benefits in various HR projects, providing Benefits input to business requirements and operational readiness, identifying opportunities to improve working practices
  • Where needed, assist AVP with Monthly and Annual reports including but not limited to utilisation rates of benefits after the annual renewal, tracking and analysing trends of wellbeing data.
  • Organise employee events and seminars with Pension and Benefit providers as well as Pension Trustee board meetings
  • Providing support for the annual benefits renewal including but not limited to contract renewals, onboarding new providers, testing of benefits platform.
  • First point of contact for any queries that are escalated by AskHR team 
  • Completing monthly reconciliations between data from the benefits platform and the benefits data on the payroll platform. Working with Payroll to investigate and document any discrepancies.
  • Support with drafting and issuing employee communications (emails, intranet pages, benefits platform, benefits fair, wellbeing events). 
  • Manage invoices and track costs relating to benefit and pension expenses
  •  Investigate issues with data feeds from Workday to Darwin, investigating and resolving issues, recommending changes to process where necessary and avoiding legislative breaches.
  • Answer general queries and requests from Payroll. Including, where needed, clarification of monies coming into the business for employees on Group Income Protection 
  • Work with vendors and procurement, to ensure contracts and infosec are aligned to ensure our contracts are fit for purpose and signed. Trouble shoot when things are not running to plan and find solutions
  • Support and where appropriate manage the onboarding, setup and inclusion of new benefit offerings 
  • Pension support for the four MUFG pension plans including but not limited to documenting and processing invoices and transfer of funds and balancing suspense accounts.
  • Attend broker, supplier, benefits portal supplier and pension provider meetings where required with the AVP, VP and/or Head of Benefits 
  • Maintaining Tier 0 information shared on the Intranet or other MUFG tools to ensure correct information available for clients. Performing an annual review and creating additional FAQs for further Tier 0 support.
  • Responsible for the document management processes within Benefits Team, ensuring that all required documentation is filed/scanned accordingly to employee personnel records and archiving
  • Providing specialist pension and benefits administrative support to team when required.
  • Take a proactive lead on a transition project where agreed processes preformed in the UK would transition to an offshore entity, ensuring relevant processes are accurately documented, training is provided (to the receiving entity), and hyper-care is managed to full offboarding. 

   

WORK EXPERIENCE

  • Preferred: previous HR Pension and Benefits experience in financial services
  • Previous experience in process management and offshoring project work would be beneficial

Education / Qualifications:
