Benefits & Leave Administrator

Position Summary:

The Benefits Administrator is responsible for managing employee health and welfare programs using ADP software. This role involves processing enrollments, life-cycle changes, and COBRA, while serving as the primary contact for vendors. The administrator ensures compliance with federal and state regulations such as HIPAA and FMLA. Responsible for administering, managing and coordinating the support for all leave of absence, including FMLA and Workers' Compensation claims.

 

Job Responsibilities:

  • Lead and administer all company health and welfare benefit programs, including medical, dental, vision, disability, life insurance, and AD&D plans, ensuring effective delivery and compliance.
  • Serve as the primary point of contact for all benefits vendors, carriers, and broker partners, managing relationships and issue resolution.
  • Manage all aspects of benefits enrollment, including new hire enrollment, qualifying life events, and annual open enrollment.
  • Present and explain benefit offerings during new-hire orientation and annual open enrollment sessions.
  • Communicate benefits information clearly and proactively to improve employee awareness, understanding, and utilization of available programs.
  • Respond to employee benefit inquiries with accuracy, professionalism, and a high level of service.
  • Support the development and administration of benefits enhancements and wellness initiatives.
  • Coordinate and facilitate wellness program activities and communications.
  • Manage and administer disability and leave of absence programs, providing end-to-end case management for FMLA, ADA, Workers’ Compensation, USERRA, pregnancy-related leaves, and other applicable programs.
  • Coordinate closely with Payroll to ensure accurate tracking of leave time and pay impacts.
  • Review and interpret medical documentation to determine leave eligibility and appropriate accommodations, ensuring HIPAA compliance and employee privacy.
  • Maintain regular communication with employees on leave and coordinate return-to-work processes.
  • Conduct benefits administration audits, reporting, invoice reconciliation, tracking, and HRIS/system testing to ensure plan accuracy and compliance.
  • Prepare and submit BLS and other required benefits-related compliance reporting.
  • Serve as HR Lead for the Safety Committee, supporting alignment of workplace safety initiatives with HR and regulatory standards.
  • Provide secondary support for employee engagement activities and company events.
  • Support additional HR initiatives and projects as assigned.

 

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred, or equivalent combination of education and relevant experience.
  • 4+ years of experience in benefits administration, preferably managing health and welfare benefit programs.
  • Experience administering medical, dental, vision, life, disability, and voluntary benefit plans.
  • Experience managing benefits enrollments, vendor relationships, and open enrollment processes.
  • Strong working knowledge of U.S. benefits regulations and compliance requirements, including ERISA, COBRA, HIPAA, ACA, and FMLA.
  • Experience working with HRIS, ideally ADP, and benefits administration systems for enrollment, reporting, and audits.
  • Proficiency in Microsoft Excel and other business systems used for benefits tracking and reporting.

 

Preferred Qualifications:

  • Experience administering leave of absence programs including FMLA, ADA accommodations, and Workers’ Compensation
  • Proficiency in Microsoft Excel and other business systems used for benefits tracking and reporting.
  • Ability to interpret medical documentation and regulatory guidelines when supporting leave administration and handle confidential information with discretion.

 

Salary Range: $70,000-$90,000
