Job Description:
Under the supervision of the Event Manager, contributes hospitality expertise and operational leadership to ensure the successful execution of events at the Legacy Campus. Responsible for managing the on-site logistics and service components of events, ensuring high standards of hospitality, professionalism, and guest experience.
Collaborates with internal departments and external partners to coordinate small, midsize, and large events hosted at the Legacy Campus. Responsibilities include event preparation, staff supervision, room setup oversight, guest service management, and post-event breakdown.
Coordinates with Technology, Custodial, Security, Catering, and other support teams to ensure all event requirements are delivered efficiently and professionally.
Helps foster strong relationships with schools, district leaders, local corporations, colleges, and community organizations that utilize the Legacy Campus. Plays an important role in ensuring events are well organized, professionally executed, and reflective of the district’s commitment to community engagement and hospitality.

Evening and weekend work required based on event schedule
Work is performed in a variety of indoor event spaces including meeting rooms, banquet spaces, theaters, and conference areas, with occasional outdoor event environments.
Interaction with large groups of people including staff, students, vendors, and community members.
ESSENTIAL PHYSICAL REQUIREMENTS
Ability to stand and walk for extended periods during event preparation and execution.
Ability to bend, stoop, kneel, reach, and move throughout event spaces during setup and breakdown.
Ability to lift, carry, push, or pull event-related materials and equipment up to twenty-five (25) to forty (40) pounds (tables, chairs, linens, signage, small equipment).
Ability to assist with room setups including arranging tables, chairs, staging, and event equipment.
Ability to move quickly and safely through event spaces while managing logistics and guest needs.
Ability to communicate clearly in person and via phone, radio, and electronic communication systems.
Visual and auditory ability to monitor event environments, identify safety concerns, and respond to guest needs.

Responsibilities:
Ensure compliance with all local, state, and federal regulations as well as district policies and campus procedures
Model professional conduct and maintain the highest level of personal and professional integrity in all interactions
Promote a welcoming, professional, and service-focused environment for all guests and campus partners
Monitor event timelines and ensure all services are delivered according to schedule and client
expectations
Establish and maintain strong relationships with vendors, schools, departments, and community
partners using the Legacy Campus
Coordinate with Technology, Custodial, Security, and Catering teams to ensure all event logistics are properly executed
Assist with scheduling and coordination of internal and external users through the facility
management system, including rental agreements, invoicing, and payment processes
Serve as a point of contact for event hosts, vendors, and service teams during events to ensure
smooth communication and quick resolution of issues
Ensure event spaces are set, maintained, and reset according to event specifications and campus standards
Supervise and coordinate event and banquet staff, including set-up, service, and breakdown teams
Oversee the on-site management of banquet and event operations, ensuring all event details are
implemented according to the event plan
Assist the Event Manager and the Assistant Event Coordinator in the planning, coordination, and
successful execution of campus events
Perform other related duties as assigned or requested
Setup and troubleshoot basic A/V equipment and technologies

- All salary amounts listed above are based on a full-time (1.0) FTE. If applicable, part-time salaries will be prorated according to the assigned FTE.
