Work Arrangement: This role is categorized as hybrid on NIGHT SHIFT. This means the successful candidate is expected to report to GM Philippines office three times per week or other frequency dictated by the business. 

The Role

We are seeking a detail-oriented and collaborative Background Check Specialist who is responsible for coordination of pre-employment screening activities and operations for experienced, executive and hourly candidates globally. This role manages the relationship with our third-party background check vendor, leads background check adjudications and escalations, and coordinates non-standard cases between stakeholders, such as contingent starts, immigration and work authorization cases. The specialist will also support and execute executive-level background screening, ensuring a consistent, compliant, and high-quality candidate experience.

This role partners closely with Talent Acquisition, People Services, HR Business Partners, Legal, Security, and Global Mobility/Immigration.

What You'll Do

Vendor & Relationship Management

  • Serve as the primary point of contact for the background check vendor, managing day-to-day operations, issue resolution and continuous process improvement

  • Leverage strong data judgement & story telling with data to monitor service levels, turnaround times, and quality, escalating performance issues and partnering with the vendor on remediation plans.

  • Maintain and update standard operating procedures, configurations, and workflows related to background screening in vendor tools and internal systems.

  • Collaborate with Procurement, Legal, and HR Ops on contract renewals, scope changes, and data privacy/compliance requirements.

Adjudication, Escalations, Compliance & Operations

  • Oversee end-to-end background check initiation, monitoring, and completion for candidates and new hires in partnership with Talent Acquisition.

  • Track and reconcile outstanding checks, delays, and exceptions, proactively communicating status and risks to recruiters and HR.

  • Ensure accurate and timely documentation and case logging in HR systems and case management tools.

  • Lead background check adjudications, reviewing results against company policy, local laws, and regulatory guidance.

  • Facilitate and document escalations for complex or high-risk cases, partnering with appropriate stakeholders.

  • Maintain and apply adjudication matrices and decision frameworks, updating them as policy or regulatory requirements evolve.

  • Ensure processes comply with applicable laws and regulations

  • Maintain accurate audit trails and records to support internal audits, legal inquiries, and regulatory reviews.

Non-Standard Start Support

  • Coordinate with Global Mobility/Immigration and Talent Acquisition on immigration cases for candidates and new hires (e.g., work authorization, visas, permanent residency).

  • Support case intake, documentation, and status tracking for immigration-related checks and verifications.

  • Ensure background and immigration processes are aligned, with clear hand-offs and communication across teams.

  • Manage contingent start processes when background checks are pending, ensuring adherence to policy and appropriate approvals.

  • Monitor start date accuracy and delays to avoid overpayments

Executive Background Screening

  • Manage enhanced background screening for executive and highly sensitive roles, ensuring a white-glove candidate experience.

  • Partner with stakeholders to define and execute appropriate screening packages and escalation paths.

  • Handle confidential information with discretion, ensuring the highest levels of privacy and data protection.

  • Prepare and present executive-level summaries of screening outcomes and recommendations where appropriate.

Continuous Improvement & Reporting

  • Monitor key metrics (e.g., turnaround time, pass/fail rates, contingent starts, dispute/appeal volumes) and identify trends and process gaps.

  • Recommend and implement process, policy, and system improvements that enhance candidate experience, compliance, and efficiency.

  • Deliver training and guidance for Talent Acquisition, HR, and People Services on background check and contingent start processes.

  • Support projects, audits, and change initiatives related to background checks, immigration, and onboarding.

  • Monitor start date accuracy and delays to avoid overpayments

Your Skills & Abilities (Required Qualifications)

  • Bachelor’s degree in Human Resources, Business, Criminal Justice, or related field, or equivalent experience

  • Solid experience in background screening, HR operations, Talent Acquisition, compliance, or a related function.

  • Hands-on experience working with background check vendors and/or screening platforms

  • Strong analytical and decision-making skills, with the ability to interpret complex background reports and apply policy consistently

  • Demonstrated ability to handle confidential and sensitive information with discretion

  • Excellent communication and stakeholder management skills, with experience partnering across HR, Legal, and business teams.

  • Experience managing vendor relationships in an HR or compliance context

  • Knowledge of FCRA, EEOC guidance, fair chance hiring laws, and other relevant regulations is a plus

  • Experience supporting immigration/work authorization processes and/or partnering with Global Mobility or immigration counsel.

  • Prior experience supporting executive-level hiring or high-risk/sensitive roles.

  • Familiarity with HRIS/ATS systems (e.g., Workday) and HR case management tools.
