About the Role

Highstreet Asset Management Inc. is seeking a highly organized, client-focused Associate – Client Services & Operations to join our Private Client team in London, Ontario.

This role is responsible for delivering exceptional service to high-net-worth clients through operational excellence, precise documentation management, and proactive client support. The Associate acts as a key point of contact for clients and plays a central role in ensuring seamless execution of account administration, transactions, reporting, and office operations. This is a newly created role on the team.

Key Responsibilities

Client Service & Relationship Support

  • Develop and maintain strong, professional relationships with high-net-worth clients and their advisors (accountants, lawyers, trustees)

  • Serve as an operational contact for client inquiries and service requests

  • Coordinate client onboarding, account openings, and documentation completion

  • Prepare client meeting materials, reporting packages, and follow-up communications

  • Assist in tracking client deliverables and ensuring timely follow-through

  • Support client satisfaction initiatives and service excellence standards

Account Administration & Operations

  • Process and track client transactions, deposits, withdrawals, and account updates

  • Coordinate trade processing support and reconciliation activities

  • Liaise with custodians to resolve outstanding items and ensure accurate settlement

  • Maintain up-to-date client files and ensure documentation meets compliance standards

  • Support internal audit and regulatory documentation requirements

  • Monitor daily client activity to ensure accuracy and completeness

Compliance & Risk Oversight

  • Ensure adherence to regulatory requirements and internal compliance policies

  • Maintain complete and audit-ready client records

  • Assist with documentation tracking and compliance file management

  • Escalate operational risks or discrepancies appropriately

Office & Business Operations

  • Support daily office operations to ensure a professional and efficient environment

  • Act as liaison with AGF corporate functions including IT, Compliance, HR, and Procurement

  • Assisting managing office vendors, supplies, and facilities coordination

  • Collaborate on the logistics for client events, sponsorships, and team initiatives

  • Support onboarding of new employees and office orientation

What You Bring

  • 2–5 years of experience in wealth management, private banking, or financial services

  • Post-secondary education in business, finance, or related discipline preferred

  • Strong understanding of high-net-worth client servicing and operational processes

  • Experience working with custodians and client documentation

  • Knowledge of CRM systems (Harmony preferred)

  • Advanced proficiency in Microsoft Office, particularly Excel

  • Exceptional attention to detail with strong written and verbal communication skills

  • High degree of discretion and professionalism

  • Client-first mindset with strong service and collaboration orientation

  • Operational precision, accuracy and efficiency

  • Strong time management and prioritization skills, along with the ability to manage competing deadlines  

Compensation 

The anticipated compensation range for this role is $60,000 - $70,000 annually, which represents base salary and, where applicable, variable compensation components (e.g., annual bonus, commissions, etc.). Actual compensation will be determined based on many factors such as role location, candidate experience / qualifications, market conditions, and internal equity.
