The Executive Events Coordinator supports the planning and execution of high-impact Executive and C-Suite Experiences across Salesforce’s Tier 1 strategic events. This role combines event logistics, content coordination, and communications to ensure seamless delivery of premium, executive-level programs that engage senior leaders, customers, and partners.

Role & Responsibilities

  • Manage all executive session content in RainFocus, ensuring accuracy, proper access controls, and alignment with event objectives.
  • Partner with content owners to develop session titles, abstracts, and showflows; maintain internal and external planning decks and lookbooks.
  • Serve as the content liaison in weekly cross-functional calls with Event Tech and agencies (e.g., GPJ).
  • Build and maintain trackers for session programming, 1:1 meetings, and speakers.
  • Manage speaker contracts and coordinate logistics, including travel, security, and on-site support.
  • Collaborate with procurement and account teams to ensure timely contract processing and accurate attendee information.
  • Develop enablement decks and provide weekly updates to field teams highlighting customer registration, session details, and speaker announcements.
  • Lead program promotion and attendee engagement efforts, including personalized communications, marketing materials, and digital signage updates.
  • Analyze event platform data (RainFocus reports) to optimize engagement and attendance.
  • Act as a primary contact for internal and external speakers; ensure smooth session flow and alignment with AV and signage teams.
  • Manage real-time schedule adjustments and capture post-event insights, including attendance, engagement, and key takeaways.
  • Maintain organization of key planning materials and trackers; streamline workflows for cross-team efficiency and accuracy.

Required Skills / Experience

  • 3-4 years of event marketing experience in a fast-paced environment, preferably in the Salesforce ecosystem 
  • Demonstrate strong proofreading and communication skills, both written and verbal
  • Proven ability to drive cross-functional collaboration across diverse sets of stakeholders
  • Exceptional project and time management skills - highly organized and detailed focused with the ability to manage complex timelines and multiple projects
  • Self-starter, highly motivated, and problem solver who loves to come up with innovative solutions
  • Experience successfully managing third-party vendors and budgets
  • BS or BA related degree, or equivalent experience
  • Familiarity with Rain Focus and/or Splash
  • Ability to travel as needed

For California-based roles, the base salary hiring range for this position is $111,200 to $152,900.
