POSITION OVERVIEW:
The Associate Director / Director will be responsible for the professional and exceptional management of day-to-day operations of Apollo’s Global Workplace Solutions function in Mumbai, driving a best-in-class employee and client experience. You will run seamless day-to-day office operations, which includes the daily supervision and management of all building related and office services activities, ensuring adherence to building policies and procedures and meeting safety, quality and service level expectations. This role requires strong client focus, attention to detail, strong execution coupled with project management and proactive thinking.
PRIMARY RESPONSIBILITIES:
Oversee and manage the delivery of facility, catering, hospitality and reception services across the 3 locations in Mumbai, considering the following as performance measures: quality, cost, and timeliness while providing our employees with a best-in-class workplace.
Support the India Head of Workplace Solutions in execution of Real Estate Strategy, Moves, Adds and Changes, Space planning, space data management, parking management as required.
Closely partner with Global Workplace Solutions, local senior leadership and third-party suppliers to ensure flawless operations of the 3 sites in Mumbai and drive employee experiences, providing a best-in-class workplace.
Support the India head of Workplace Solutions in managing and providing oversight to an on-site third-party Facilities Management Team
Conduct regular floor walkthroughs and inspection of the office floors to ensure delivery of the highest levels of service such as cleanliness, upkeep, maintenance, pantry services etc.
Develop and maintain a program of reactive and preventative maintenance for all hard services utilizing external specialty vendors and landlord provided services.
Support India head of Workplace solutions in ongoing monitoring and governance of third-party suppliers, in maintaining an up-to-date building risk register, planning mitigation action where necessary, maintaining a register of GWS owned statutes and compliance of those statutes by landlords, third party providers etc.
Partner with India head of Workplace solutions in maintaining landlord relationships, conducting periodic interactions with landlord operations teams on various matters.
Oversee reception service, ensuring internal and external visitors get the best-in-class experience.
Execute all moves, ads, changes within the workspace.
Oversee and manage café operation services, ensuring quality and consistent provision.
Oversee transportation service. Ensure facilities, local transport management and security vendors collaborate seamlessly while ensuring that employees adhere to local legislation and T&E policy guidelines.
Support the execution of the site operations strategy in alignment with the India head of Workplace Solutions; think globally, execute locally.
Maintain efficient vendor and operational service standards by working with vendors and building management to ensure adherence to lease agreements, building maintenance contracts and utilities, and optimal functioning of all building systems (mechanical, fire/life safety, elevator, etc.)
Manage the approach to the local Help Desk ticketing system in receiving & resolving workplace maintenance & service complaints.
Support the Business Continuity Plan, Emergency Action Plan, and Fire and Life Safety. Support Crisis Management Team locally and globally by proactively planning for and responding to emergencies and catastrophic events.
Partner with the India head of Workplace Solutions to prepare facility expense and capital budget, perform a first level review of invoices for all vendors, ensuring accurate billing to the appropriate department and recommending those invoices to India Head of Workplace for approvals. Ensure timely vendor payments, periodic record keeping of no dues.
Actively identify and recommend initiatives that focus on service improvements, cost reduction, quality improvement, risk mitigation, industry trends and other relevant factors that impact workplace effectiveness (BMS, lighting, HVAC, etc.)
Develop & implement standardized/best practice workplace solutions process to create long-term efficiencies. Ensure adherence to standardized processes by conducting periodic checks.
Ensure industry-leading training & development of in-house and 3rd party workplace operations teams
Oversee the management of internal and external events by the catering and events manager, coordination with relevant Apollo colleagues, event organizing teams in successful delivery of GWS services to all the events.
Prepare / perform first line review of dashboard, reports as required.
Qualifications & Experience
12+ years of real estate and facilities management experience, preferably in the Mumbai market; experience working in financial services company preferred
BA/BS degree in Business, Engineering, Architecture or equivalent experience
Ability to thrive in a fast-paced, dynamic, and rigorous work environment; demonstrated ability to prioritize competing demands
Communication: demonstrated ability to communicate clearly and effectively, both in verbal, presentation and written forms. Demonstrated ability to listen to others to understand their perspectives, to define and communicate objectives and programs effectively, and persuade vendors and contractors to perform to meet commitments.
Professional presence, enthusiastic and curious demeanor with a positive approach to collaborate and getting things done.
Effective vendor management focused on the delivery of flawless customer service
Proficient in Microsoft Office: Outlook, Word, PowerPoint and Excel
Ability to adhere to normal local office hours and available outside of them and weekends as needed.
