Associate Director, Global Meetings Management
Based at Stockley Park, UK - 3 days a week in office
We are pleased to share that Gilead’s Stockley Park and Holborn offices are planning to come together at a new London headquarters at 1 Triton Square, NW1, from approximately Q2 2027. As Associate Director, Global Meetings Management, you’ll manage the ongoing development and execution of Gilead’s Global Meetings strategy and operations; you will also lead the planning of key global meetings to ensure a standardized and consistent planning process. You’ll report to the Director of Global Meetings & Technology, as part of Global Commercial Operations (GCO).
Knowledge required:
• Excellent task management skills, including planning, prioritization, objective setting, meeting management, and plan execution
• Ability to manage projects and multi-task in a deadline intensive environment to produce high quality results
• Experience managing direct reports, cross functional teams and working groups
• Ability to effectively manage external vendors and partners
• Strong team player with experience working in international settings
• Demonstrates cultural agility and adaptability in a changing environment
• Ability to effectively communicate with different stakeholders, in visual, oral and written presentation forms
• Demonstrates an understanding of Gilead core values
Specific Education & Experience Requirements:
• 10+ years of relevant experience in event planning and BA/BS
• Proficiency in Microsoft Office applications including Word and PowerPoint, particularly as used in the development of agendas and meeting planning tools.
• Experience in a pharmaceutical environment preferred
Specific Job Responsibilities:
• Oversee and direct the planning and execution of the Access Operations & Emerging Markets group’s events and conferences.
• Develops timelines, structure and deliverables for event planning including stakeholder map and approvals needed.
• Manages the day-to-day operational implementation of organizing events, including leading working groups, creating agendas, selecting and overseeing vendors, organizing logistics and venues, and creating graphic design themes.
• Manages the on-site execution of the event as applicable, potentially responding to last minute changes and requests.
• Works in close collaboration with Public Health & Medical Affairs and other internal key stakeholders such as Legal, Public Affairs, Marketing and the Commercial Event Planning group to make sure events are effective and compliant with Gilead messaging, policies and regulatory guidelines.
• Manages the one-year conference allocation process for all major international conferences.
• Selects external agencies, contractors and vendors, and manages their work.
• Establishes and manages the overall event planning budget including professional services budget.
• Establishes processes around event planning that integrate internal and external resources effectively and respond to current and future needs.
• Oversees the organization and repository for all event planning-related materials.
• Manages the day-to-day activities of one or more employees, with responsibility for performance evaluation. Recommends solutions for bridging gaps between current organizational capabilities and needs.
• 30% travel required
