Associate Administrative Support

The Opportunity:

Avantor is looking for Associate administrative support who is responsible for the renewal and maintenance of customer service contracts in Ireland.
 

Major Job Duties and Responsibilities

  • Organise, monitor, and manage all service contract renewals for the Ireland region, ensuring timely and accurate execution.
  • Proactively engage with customers by phone/email to initiate, build up a relationship, and progress the renewal process in line with contractual timelines. Ensure that the correct contact details for the contracts are in place each year, updating them if necessary.
  • Create, manage, and maintain all renewal-related tickets and contracts within internal systems.
  • Liaise closely with the Business Development Manager (BDM) to review renewal terms, commercial considerations, and contract status.
  • Update and amend tickets and contracts as required following BDM review and throughout the contract lifecycle.
  • Maintain the Contracts Forecast File, ensuring all data and financial information is accurate, current, and available for reporting and planning purposes.
  • Ensure all contract-related work is scheduled on engineers’ schedules in advance of the contract start date to support service delivery.
  • Coordinate and manage third-party vendor activities related to service contract obligations.
  • Forecast service contract revenue and contribute to financial planning and reporting processes.
  • Undertake additional duties as required to support the operational needs of the business.
     

 Qualifications (Education, Training & Experience)

  • Any finance background
  • Minimum 1+ years of experience .
     

Knowledge, Skills & Abilities

  • Third-level qualification in Business, or a related field, or equivalent practical experience.
  • Experience in an administrative, coordination, or customer service role is desirable.
  • Interest in contracts, renewals, and service operations; prior exposure is an advantage but not essential.
  • Familiarity with Microsoft Office, particularly Excel; experience with CRM or ticketing systems is beneficial.
  • Strong organisational skills with good attention to detail.
  • Clear written and verbal communication skills.
  • Proactive, reliable, and eager to learn, with the ability to work as part of a team in a fast‑paced environment.
  • Excellent time management and multitasking capabilities
  • Self-starter, proactive individual, works on own initiative with minimum supervision
  • Excellent written and verbal communication skills
  • IT literate with current applications
