Required Education and/or Work Experience: Minimum qualification is a bachelor’s degree. 5+ years of administrative experience in an office. Other job-related education and/or experience may be substituted for part of these requirements.
Preferred Education and/or Work Experience: Experience using Workday is preferred. Experience supporting senior executives is preferred.
Essential Job Duties and Responsibilities:
Manages complex calendars, including scheduling meetings, coordinating appointments, and resolving conflicts using independent judgement to prioritize events for the VCFA.
Manages all aspects of the property acquisitions process, manage property easements, research property records, manages and controls documentation involved with appraisal, survey, and closing and recording of property sales and acquisitions.
Prepares the VCFA’s daily activities by organizing agendas, briefing materials, and follow-up actions, while handling confidential information with discretion and professionalism.
Serves as the primary point of contact for internal and external stakeholders for the VCFA and VCFA direct reports, drafting, proofreading, and editing correspondence, presentations, and reports.
Prepares materials required for presentations to the Arkansas General Assembly, University of Arkansas System Board of Trustees, and Arkansas Higher Education Coordinating Board.
Manages office budgets and monitors/approves department spending within VCFA organizations and some third-party vendors.
Monitors and updates VCFA website information, to include accessibility of the website and other documents with discretion to content and design
Other Job Duties and Responsibilities:
Coordinates travel, including itineraries, accommodations, and expense reporting.
Research, compiles, analyzes, and organizes information in report forms.
Maintain an organized system for documents, records, and information flow.
Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork and by providing leadership to subordinates. Requires consistent on-time attendance.
Knowledge, Skills, and Abilities: To perform the job successfully, the following competencies are required for the essential functions of this position:
Must be proficient in Microsoft Word and Outlook and have a working knowledge of Microsoft Excel and PowerPoint.
Must have excellent written and verbal communication skills.
Ability to apply knowledge base comprehensively.
Tracks and monitors compliance with reporting and other deadlines imposed by the Arkansas General Assembly, the Arkansas Higher Education Coordinating Board, and the University of Arkansas Board of Trustees
Ability to compile information and prepare reports.
Ability to work independently, anticipate needs, and adapt quickly to changing priorities.
Attends and participates in various meetings, transcribing meeting minutes on behalf of the VCFA.

While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. The employee frequently sits for extended periods of time, and occasionally stands and walks. Vision demands include close, relatively detailed vision when focusing on a computer screen. Employee regularly talks and hears. Employee occasionally lifts items up to 10 pounds. May transport books and materials to and from other areas of the campus. Local travel to pick up orders and supplies, delivery of meeting materials, and to assist with off-campus events. Incumbent will be required to depart the primary duty location to attend meetings elsewhere on campus. Office hours 8:00 a.m. to 5:00 p.m., Monday through Friday; extended hours are occasionally required.
