Position Summary:

Florida Atlantic University is seeking an Assistant to the Senior Associate Vice President, Strategic Planning & Student Success - Boca Raton, FL.

The Assistant to the Senior Associate Vice President for Strategic Planning & Student Success provides high‑level executive, administrative, and operational support to a fast‑paced leadership office with broad, university‑wide impact. Serving as the primary coordination point for the SAVP, this role manages complex scheduling, strategic communications, meeting operations, and daily workflow across multiple initiatives. The position supports cross‑functional collaborations, prepares executive‑ready materials, facilitates responsive communication with senior leaders, and ensures seamless execution of meetings, events, and special projects that advance student success and institutional priorities. The Assistant exercises sound judgment, maintains strict confidentiality, and proactively anticipates needs in a dynamic environment with competing demands.

Summary of Responsibilities:

  • Serves as the primary administrative coordinator and assistant to the SAVP, maintaining an accurate and prioritized calendar; scheduling appointments; coordinating travel arrangements as needed; and supporting daily office operations, including routing calls, inquiries, and correspondence.

  • Coordinates and supports all standing and ad hoc meetings overseen by the SAVP, including (as applicable) cross-functional student success analytics workgroups, enrollment management oversight committees, appeals meetings, divisional and unit-level senior staff meetings, and other high-priority university-wide meetings.

  • Provides end-to-end logistical support for meetings and events: confirms attendees, secures appropriate locations/virtual links, prepares and distributes required materials in advance, manages room setup and technology needs, and ensures follow-through on action items and anticipates next steps.

  • Develops meeting agendas in coordination with the SAVP and key stakeholders; gathers presentations, reports, and background materials; and records minutes/action items as directed—tracking deliverables and deadlines to ensure timely completion.

  • Produces executive-ready briefing packets and background summaries for upcoming meetings and events, ensuring the SAVP has the necessary context, data, and talking points for decisions and strategic discussions.

  • Manages strategic communications on behalf of the SAVP, including drafting, editing, and coordinating messages to internal and external audiences; monitoring written materials for review and approval; ensuring accuracy, tone, and alignment with office priorities; and maintaining distribution lists and contact records.

  • Serves as a liaison and coordination point between the SAVP and senior/executive leaders (e.g., Vice Presidents, Associate Provosts, Deans, and other key partners), facilitating responsive communication, scheduling, and issue resolution across units.

  • Reviews and triages incoming correspondence and requests to identify items requiring priority attention; independently responds to routine inquiries where appropriate; and ensures proper filing and documentation consistent with office practices.

  • Supports planning and execution of events, convenings, and special engagements led or hosted by the SAVP, including stakeholder outreach, invitations, run-of-show planning, materials preparation, and day-of coordination.

  • Provides general office coordination and problem resolution to ensure professional operations, including oversight of shared administrative workflows.

  • Prepares and organizes routine administrative transactions and documentation, which may include spend authorizations, requisitions, purchase orders, travel documents, expense reports and respective reimbursements, and related forms in accordance with university procedures.

  • Maintains organized records, trackers, and recurring schedules for key initiatives and meeting cycles; supports special projects and other duties as assigned to advance Strategic Planning & Student Success priorities.

  • Deals with highly confidential information and must discreetly manage sensitive issues, communications, and materials. Maintains professionalism, confidentiality, and careful judgment in all interactions and document handling.

  • Analyzes and investigates complex issues and non-routine problems that require significant independent judgment in prioritization, coordination, communication, and resolution of competing demands, as essential duties are complex and guided by long-term objectives or broadly defined goals.

  • Performs other office and administrative job-related duties as appropriate, and completes special projects as assigned.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization; or bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.

Salary:

$55,000 - $70,000 annually.
