In this role, you will support the Real Estate Management Team in the day-to-day operation of Front Street, reporting to the Senior Property Manager.

This temporary fixed-term position will be offered for a minimum term of 12 months, with the potential for extension subject to business requirements.
As a member of this team, you will be responsible for:
Customer Relationship Management
Assist in establishing and maintaining "World Class" customer relationships through understanding customer needs and concerns as part of the Oxford Commitment
Coordinate the customer visitations in the Customer Relationship Management (CRM) module
Ensure prompt and courteous attention to all customer requests, internal and external
Maintain customer manuals
Coordinate customer move-in and move-out procedures
Coordinate customer event requirements and Green Team meetings
Maintain Lobby Directories & Elevator screen content in all buildings
Manage content & updates to Otto by Oxford customer app for the Front Street Portfolio
Preparation of customer notices, internal newsletters, and monthly newsletters to Tenants
Provide support to Community Manager initiatives
Reporting
Assist in ensuring all reports are prepared accurately and in a timely manner, recognizing the importance of internal and external relationships
Assist with annual budget preparation and quarterly reforecasting/reporting
Assist with monthly accruals and management reporting, including operating variance analyses, leasing cost and capital projects tracking
Accounts Payable/Receivable
Support the Property Administrator to ensure accuracy of billings and collections are received on time
Assist with default preparation and delivery notices to customers
Provide support to Building & Tenant Relations Coordinator for invoice payment and coding direction
Lease Administration
Prepare and deliver notices to customers with respect to lease administration
Lease interpretation and ensure requirements are adhered to
Monitor and complete leasehold improvement allowance requirements as per the lease
Office Retail & Leasing
Maintain record of ongoing leasing updates for both Office and Retail meetings
Support leasing and property teams with customer renewals, expansions, vacant suite standards maintenance, and tours as needed
Update the Oxford building pages on the Oxford web site as required
Coordinate Broker fees, payments, and distribution
Maintain storage records and administer new agreements
Assist Specialty Leasing with temporary license agreements & PATH activations
Operations, Construction & Development
Maintain Emergency Management plan updates, contacts and Send Word Now lists
Assist Operations team with various building inspection and requirements
Review and monitor Angus preventative maintenance performance results
Assist Construction Manager during leasehold improvement and Landlord’s work processes
Work with Risk Management as required on Insurance related issues
Coordinate with Security, Cleaning, Parking operators as required
Work with Development to support site related projects
To succeed in this role, you have:
3 -5 years’ experience in Real Estate Management required
Post-secondary degree with focus in business or real estate
Enrolment in RPA/CPM is an asset
Demonstrated ability to multi-task and manage priorities under pressure with careful attention to detail
Demonstrated financial, analytical and decision-making skills
Familiarity with LEED EB submissions, BOMA Best and BOMA Certificate of Excellence
Strong Computer skills and knowledge of MS Office required, basic Knowledge in JDE preferred
Excellent communication skills both written and oral
Strong interpersonal skills for successful teamwork working closely with customers
Ability to find creative solutions and help drive results

This posting is for an existing vacancy.
The expected salary range for this position is $72,000 to $85,000 per year.
You may also be eligible to receive an annual Incentive Award pursuant to our Short-term Incentive plan and our Long-Term Incentive plan (if applicable), and to participate in our group benefits and retirement plans – details on these elements of compensation are included within OMERS & Oxford offer letters.
