Assistant Program Manager – ABS Associates

Salary Range: $90,000 - $120,000

ABS Associates of New York, a subsidiary of Apple Bank, is seeking an Assistant Program Manager with exemplary organizational skills and meticulous attention to detail to support the sales, compliance, operational, and marketing functions within its growing financial services practice. The selected candidate will assist the Program Manager across all business operations, focusing on supervising marketing initiatives, managing daily administrative tasks, maintaining rigorous standards of performance, and identifying opportunities to implement advanced technological solutions for process enhancements. The role also includes supporting client acquisition, relationship management, and broader business development activities.

This position is suited to a motivated professional adept at handling multiple responsibilities, thriving in dynamic environments, and demonstrating substantial experience in the financial services industry. The ideal applicant will exhibit outstanding organizational abilities, keen attention to detail, and proficiency with Microsoft applications, including expertise in creating spreadsheets and analytical reports. A comprehensive understanding of artificial intelligence and its practical application in business settings is also essential.

ESSENTIAL DUTIES & RESPONSIBILITIES

Business Management:

  • Serve as liaison between ABS Financial Advisors and external partners as needed.
  • Establish and maintain effective partnerships and teamwork to ensure a level of service delivery that is professional, seamless, and timely.
  • Build direct working relationships and interact with internal partners, clients, prospects, and external contacts to ensure accounts are administered properly
  • Manage project schedules and ensure stakeholders complete their assigned tasks on time.
  • Assist with recruiting, onboarding, and training of new team members.
  • Evaluate and implement process enhancements to increase productivity and improve client service.
  • Support business planning, budgeting, and goal tracking initiatives.
  • Monitor and report on client satisfaction and manage the resolution of client escalations

Marketing & Practice Growth:

  • Plan and implement marketing initiatives such as email campaigns, social media strategies, client events, and referral programs.
  • Partner with Compliance, Marketing, and the Bank’s broker dealer to ensure that all marketing materials adhere to both corporate and regulatory standards.
  • Monitor key marketing performance indicators such as lead generation, engagement, and return on investment, and deliver actionable recommendations based on data analysis.
  • Manage client appreciation events, oversee community outreach programs, and facilitate networking initiatives.
  • Maintain brand consistency is upheld throughout all digital and print collateral.

Operational Support:

  • Collaborate with the Program Manager to monitor project timelines and deliverables and manage follow-up actions as required.
  • Develop detailed reports for Financial Consultants, with a focus on identifying cross-selling opportunities within their portfolios.
  • Identify opportunities to upgrade technology to meet business demands more efficiently.
  • Create and manage streamlined office procedures and processes to keep daily activities running smoothly.

Other:

  • Perform additional duties assigned by the Program Manager to support program success

SKILLS, EDUCATION, & EXPERIENCE

  • Bachelor’s degree in business administration, marketing, finance, or related field preferred.
  • Current registered representative with Series7 & 63 along with current NYS Life & Health Licenses
  • 5 + years of experience in financial services, office management, or marketing coordination.
  • Prior experience supervising direct reports is preferred, though not required.
  • Comprehensive understanding of financial services operations, client relations, and compliance requirements.
  • Outstanding organizational, time management, and multitasking abilities.
  • Advanced proficiency with Microsoft Office Suite, CRM platforms (including Salesforce, Redtail, Wealthbox), and project management software.
  • Experience with marketing platforms such as Canva, Mailchimp, or HubSpot is advantageous.
  • Demonstrates high integrity and maintains strict confidentiality when handling sensitive financial information.
  • Excellent interpersonal skills with a strong commitment to client service.
  • Strong attention to detail and proactive approach, emphasizing effective execution and results.
  • Must excel in collaborative settings while also being able to work independently.
  • Resourceful and forward-thinking problem solver who anticipates needs and takes initiative.
  • Mandatory training may require occasional travel.
