Established in 2009, the NTU Chinese Medicine Clinic serves as a TCM Board approved teaching clinic for the programmes in Biomedical Sciences and Chinese Medicine at the School of Biological Sciences, College of Science. We offer a range of services including acupuncture, cupping, tuina treatment massage for adults, and paediatric tuina, along with herbal medication.

We are seeking a dynamic and service-oriented Assistant Manager, Student Administration to support the school and clinic’s operational excellence and patient service delivery.

Responsibilities:

  • Provide comprehensive administrative and operational support for undergraduate and postgraduate Chinese Medicine programmes within the TCM Clinic.

  • Support the Director and Assistant Director in the planning, coordination, and execution of academic and clinical education initiatives.

  • Liaise with internal departments and external organisations to coordinate programme collaborations, partnerships, and academic activities.

  • Coordinate enrichment programmes, overseas internships, and student exchange initiatives conducted during and outside academic terms.

  • Plan, design, and coordinate publicity materials for internal talks, public events, and major programmes (e.g., Summit), including print, digital, and social media content, while ensuring compliance with Corporate Communications Office (CCO) approval processes.

  • Manage clinic-related communications across digital and physical platforms, including social media updates, operational notices, recruitment materials, service changes, and website updates to ensure timely and accurate dissemination of information.

  • Support faculty and adjunct lecturers in course delivery, including classroom logistics, educational technology tools, and Learning Management System (LMS) coordination.

  • Facilitate student orientation programmes, workshops, and academic support initiatives to enhance student engagement and success.

  • Provide timely and professional support in handling student academic enquiries and matters.

  • Prepare and maintain documentation to ensure compliance with regulatory and partner university requirements (e.g., STRE and collaborative institutions).

  • Maintain accurate academic and operational records, and ensure adherence to internal policies and procedures.

  • Undertake administrative and ad hoc duties as assigned.

Requirements:

  • Degree or Diploma in Chinese Medicine, Chinese Language, Healthcare, Education Administration, Marketing, Mass Communication, Business Administration, or a related discipline.

  • At least 3 years of relevant experience in student administration, preferably in a higher education institution. Experience in healthcare or clinical education settings or graphic design will be an advantage.

  • Candidates without direct experience but who demonstrate strong initiative and a proactive “can-do” attitude may also be considered.

  • Proficient in written and spoken Chinese to liaise effectively with Chinese-speaking stakeholders.

  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook); familiarity with academic administration systems, Learning Management Systems (LMS) or digital content management systems and social media analytics will be an advantage.

  • Experience with design and content platforms (e.g., Canva, Adobe Suite) will be an advantage.

  • Strong organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.

  • Good analytical and problem-solving skills, with sound judgment in applying policies and procedures.

  • Meticulous, with strong attention to detail and compliance requirements.

  • Strong interpersonal and communication skills, with a service-oriented mindset.

  • Self-motivated, resourceful, and able to work independently as well as collaboratively in a team environment.
