The Wee Kim Wee School of Communication and Information (WKWSCI) is ranked 4th globally and 1st in Asia for media and communication studies, according to the latest QS World University Rankings. To support our research excellence, we are looking for an Assistant Manager / Senior Executive, Research Grant Administration, to join our Research Office. In this role, you will provide administrative support for research grant processes, assist faculty and research staff with grant-related matters, and help ensure smooth operations of research activities. You will also contribute to reporting, communications, and event coordination to promote research within the school.
Key Responsibilities
Support the full lifecycle of research grants (pre- and post-award), including:
Disseminate grant opportunities and coordinating applications
Creation of research grant accounts
Facilitate grant variations
Monitor project budgets and expenditures
Review final statements of accounts before submission to funding agencies
Provide administrative support for timely proposal submissions, progress and final reporting, and proper closure of research projects and accounts
Provides effective administration in terms of management of post-grant matters for awarded grants
Review grant budgets, expenditures and claims in compliance with the University’s policies and funding agencies’ guidelines
Track research-related equipment and inventorised assets
Prepare research contracts and research collaboration agreements with individuals or organisations
Prepare research data, research-related reports and statistics for internal reporting
Provide secretariat support for biannual Research Committee and School Ethics Review Committee Meetings
Assist faculty and research staff members with grant-related queries and processes
Prepare invoices and financial claims for research projects
Maintain research communications, including website updates, weekly newsletters and annual research publications
Support research outreach through events, posters, and the WKWSCI Speaker Series and Special Talk Series
Provide support in research recruitment-related function
Assist with any other ad-hoc initiatives and assignments undertaken by the Office or other administrative tasks as assigned
Requirements
A degree with at least 3 years of relevant work experience, preferably in a higher education setting
Familiarity with social science research and research grant processes
Strong administrative, reporting, and financial tracking skills
Proficiency in Microsoft Office suite applications and digital content management
Proficiency in content creation and management of information on research in the school on different platforms such as website, social media and newsletters
Service-oriented mindset with good interpersonal and communication skills to engage and collaborate with people within and outside the university
Detail-oriented, organised and able to manage multiple tasks under tight deadlines
Able to work both independently and collaboratively
