PURPOSE
- Support and plan the Group board meetings, post-listing events, group distribution and internal event strategy
- Build and execute events of the highest caliber
- Manage executive meeting schedules, plan and deliver complex logistics and facilitate seamless events
KEY ACCOUNTAIBILITIES
- Event delivery: Manage and deliver high quality key internal Group Office FWD live and virtual events by providing end-to-end service pre and post event from conceptualisation to implementation and execution Event management: Manage relationships with venues, suppliers, catering and follow up with speakers, conduct event planning calls via in-person and/or online platforms. Arranging venues, overall event flow and scheduling, managing IT support and ensuring all Audio Visual set up and equipment is logical and operational
- Logistics management: Coordinate intricate travel arrangements, including flights, ground transportation, and hotel bookings for executive meetings and events
- Calendar management: Schedule and book meeting venues as well as organise outlook calendars for management teams, ensuring back-to-back meetings, events and evening functions run smoothly
- Pre/post event support and administration: Preparation and communication of briefing materials, managing itineraries, information packs, and handling expense comparisons and reconciliation
- Virtual/hybrid event support: Set-up and management of virtual platforms (Zoom, Teams etc) and hybrid events
- Confidentiality and discretion: Capable of maintaining strict confidentiality of all FWD management and board data and documentation
- Relationship management: Build and maintain relationships with vendors, corporate management and internal stakeholders
- On-site and remote support: Provide real-time, on-site troubleshooting and support to ensure event success
- Post-event reporting: Deliver reconciliation including finalising budgets, invoice processing and analysing survey results to create a post-event metrics per event project
QUALIFICATIONS / EXPERIENCE
- 5-8 years of events management experience
- 1-2 years virtual event experience
- Previous experience in events as well as corporate meeting and administrative support, meeting coordination or executive assistance and scheduling
- Experience handling stakeholders from diverse teams across Asia Pacific
- Excellent organisational skills
- Strong communications and inter-personal skills in English and Chinese
- Ability to travel when required
KNOWLEDGE & TECHNICAL SKILLS
- Excellent command of microsoft office suite (word, excel powerpoint, outlook)
- Experienced in preparing production show rundowns that provide clear directions to AV vendors and precisely mark all transitions
- Working knowledge/experience with virtual events platforms/technology (i.e. zoom, Teams, Swoogo, Cvent)
- Proficient in understanding hotel BEOs, rooming lists and reports
- Show calling for live and virtual events experience a plus
