About the Role:
The Assistant Maintenance Manager provides administrative and organizational support to the Maintenance Manager and the maintenance department. This role focuses on coordination, documentation, planning support, data management, and communication, ensuring smooth operations and compliance with company standards. It is not a hands‑on technical role but a key administrative function within the maintenance organization.
What You Will Do:
- Support the Maintenance Manager with daily administrative and organizational activities
- Maintain and update maintenance records, documentation, and CMMS data
- Prepare reports, dashboards, and KPI updates for management
- Assist in planning and scheduling preventive and corrective maintenance
- Coordinate communication between the maintenance team and other departments
- Manage purchase requests, spare‑parts orders, and invoice follow‑up
- Coordinate external contractors, including documentation, access, and scheduling
- Track maintenance expenses and support budget monitoring activities
- Ensure proper management of safety permits, certifications, and compliance files
- Organize team meetings, prepare minutes, and update internal procedures
- Assist with onboarding and training logistics for maintenance personnel
- Support continuous improvement initiatives within the maintenance department
What You Bring:
- Strong administrative and organizational skills, with a high level of attention to detail
- Ability to manage documentation, records, and maintenance systems with accuracy
- Proficiency in MS Office (Excel, PowerPoint, Word)
- Excellent communication skills and ability to collaborate across teams and departments
- Proactive mindset with the ability to prioritize tasks and manage multiple deadlines
- Problem‑solving attitude and a continuous improvement orientation
- Reliability, discretion, and a structured approach to work
- Experience in administrative roles; exposure to technical or industrial environments is a plus
- Strong sense of ownership and accountability in supporting daily maintenance operations
- Ability to work independently while supporting the Maintenance Manager and broader team
- Fluency in Italian and English; additional languages are an asset.
