Working days/Hours: Mon-Fri, 9am-5pm, hybrid

What You’ll Do:

As a key member of the IMG Studios team, the HR Operations Assistant will work closely with both the HR Business Partners and Recruiters to provide an exceptional employee experience to our employees across the EMEA region.

 

This role requires a detail-oriented, proactive, and highly organized professional who thrives in a fast-paced environment and is passionate about operational excellence.

 

Key Responsibilities Include But Not Limited To:

  • Accurately process all employee lifecycle events—including new hires, job changes, compensation adjustments, and terminations—within our HR Information System (Workday).

  • Draft and issue employment contracts and other employee paperwork via our esign platform, ensuring all documentation is collected and recorded accurately on Workday.

  • Take responsibility for processing and tracking pre-employment checks via our background checking partner and raising any issues with the HR Business Partners in a proactive and timely manner.

  • Track onboarding progress, follow up on outstanding tasks, and coordinate with IT and Facilities to ensure new hires have the necessary equipment, workspace, and access.

  • Partner with the Payroll team to ensure accurate and timely information on all employee changes in the monthly payroll cycle.

  • Conduct right to work checks and partner with the Immigration team on any visa related documentation as required.

  • Audit Workday regularly to ensure data accuracy and integrity.

  • Generate basic HR reports and maintain organizational charts for business units.

  • Any other duties that may be within scope of the role.

 

You Will Have the Following Strengths:

  •  A keen interest in HR, with a Batchelor’s degree in HR or a similar field preferred but not necessary.

  • A motivated self-starter with excellent organisation and communication skills.

  • Ability to manage multiple priorities and meet deadlines in a dynamic environment.

  • A learning mindset with natural curiosity, and drive for problem-solving and collaborating. 

  • Excellent computer skills and experience of working with MS Office products and HR systems.

  • The ability to safeguard and maintain confidential information.

  • A strong sense of teamwork with the ability to create, maintain and build positive relationships, both within the HR Operations team and wider HR function.
