We are looking for an accomplished and dedicated Assistant Finance Manager (AFM), primarily focused on AP operations, to join our finance team. The AFM will support the finance department by overseeing the end-to-end accounts payable function for a complex organisation involving multiple currencies and covering a variety of countries, managing financial records, driving continuous improvement in financial processes and systems and providing guidance and training to junior staff. This role requires strong analytical skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.
Accounts Payable Operations
Oversee the end-to-end accounts payable process including invoice receipt, coding, approval and payment
Supervise, mentor and develop the accounts payable team, fostering a culture of continuous improvement
Maintain accurate financial records and ensure data integrity within the financial system
Oversee and manage aged payables
Bank Reconciliation
Oversee and manage the reconciliation process to ensure the accuracy of cost centres and withholding of correct tax, identifying and rectifying any discrepancies
Month End
Update and maintain accounting ledgers and other financial records
Perform month-end process and aim to reduce the number of working days required to close
Prepare prepayments and accruals journals and complete monthly balance sheet reconciliations
Support the Finance Manager with the Management Information reporting
Manage your own workload to meet team deadlines for month end and offer support to other team members, including across the regional teams
Expense Management
Check receipts and accurate recording of staff expenses reimbursement in accordance with TBI expenses policy
Other duties
Support the Travel and Expenses Manager with analysis of expenditure Including the filing of financial records/data accurately
Any reasonable duties required by the Senior Finance Team

Know-How:
Ensuring detailed knowledge of finance processes, policies and procedure
Ensuring clear communication is provided to stakeholders
Ensuring up-to-date with the Institute’s structure, especially in relation to the allocation of costs and a clear understanding of the importance of donor-funded projects
Strong understanding of finance systems and tools, ensuring all relevant training is up to date
Accountability:
Ensure expenditures are posted accurately with relevant supporting approval documentation
Prepare the suppliers/staff expense payments within the payment run cycle
Timely reconciliation of bank statements each day
Proactively follow up on late submissions and/or incomplete information (e.g.unallocated receipts)
Full ownership of all Finance entries and administration e.g. reconciled creditor accounts
Responsibility:
Build relationships with internal and external stakeholders to ensure information is shared effectively and collaboratively Informed challenges of details on invoices with internal stakeholders/suppliers for details which do not appear correct e.g. VAT codes
Embracing the global finance team, supporting all team members when needed

Person Specification
The Tony Blair Institute for Global Change aims to equip political leaders and governments to build open, inclusive and prosperous societies in an interconnected world. We do this by developing policies and advising governments.
This is a role in a fast-paced team, working within complex divisions that are highly scrutinised. Therefore, the successful candidate for the role should be able to display the majority of the following:
A qualification in finance – AAT or equivalent is essential
Significant experience of managing an accounts payable function in a complex organisation, involving multiple currencies and/or covering a variety of countries
Experience of driving continuous improvement in financial processes and systems and providing supervision, guidance and training to junior staff to develop a high-performing AP function
Excellent attention to detail and strong organisational skills
Understanding of VAT treatment for UK purchase invoices is essential, experience of partial-exemption VAT and VAT in other jurisdictions would be advantageous
Highly proficient in Microsoft Excel
A collaborative and supportive team-player, with demonstrable experience in working as part of a team
Great interpersonal skills - able to establish good cross departmental working relationships
Excellent time management skills
Ability to articulate verbally and by written presentation, and to express complex ideas in a clear and straightforward way Demonstrate the ability to prioritise against tight deadlines
