The purpose of this role is to provide support to faculty managers and the head of faculty management. This support will be in the form of various operational, systems, and administrative activities to ensure the efficient functioning of the faculty management department. 

Key Responsibilities

  • Carry out payroll related reporting, collating and communication tasks on a monthly basis in collaboration with relevant departments, set deadlines as required and as directed by the head of faculty management.

  • Support faculty managers in overseeing operational aspects of faculty activities, ensuring efficient day-to-day functioning. 

  • Liaise with HR in monitoring when compliance training is due and ensure timely completion by way of follow ups and reminders to faculty. 

  • Liaise with the examinations office and academic management in relation to moderation deadlines and  exam papers and results that are outstanding for the purpose of the performance management tracking.

  • Ensure that the independent contractors tracker is up to date and all invoices are accrued for and monitored.

  • Report to the head of faculty management on a monthly basis on the utilisation of faculty who are under their contract hours. Work with the other assistant faculty manager(s) with accurately capturing / recording contract hours and activities in the staff utilisation system.

  • Monitor relevant weekly cap hours by faculty and report to the head of faculty management on a monthly basis. 

  • Monitor the ‘Selective Additional Functions’ for faculty on new contracts and report to the Head of Faculty Management on a monthly basis.

  • Monitor the timetable change requests on a monthly basis to review the number of postponed classes by programme and ensure that these classes are rescheduled (ensuring APS hours are met).

  • Work with the academic directors/assistant academic directors/programme level managers in co-ordinating student files from the Admissions Department in a timely manner.

Job Requirements (Essential Criteria)

  • 2+ years experience working in a relevant role

  • Be able to demonstrate experience gathering, analysing and documenting business requirements.

  • Have experience in generating and presenting reports to inform decision-making processes.

  • Have proven ability to identify and solve business problems through innovative solutions.

  • Have strong organisational and time management skills with the ability to handle multiple tasks simultaneously.

  • Ability to prioritise tasks during busy periods

  • Have the ability to maintain confidentiality and handle sensitive information with discretion.

  • Have excellent communication and interpersonal skills with the ability to work collaboratively with diverse teams.
