Job Description: Assistant Facility Manager - Technical

 

Overall Responsibility

 

Financial Management

  • To coordinate with Facility Manager in giving inputs for proper planning & managing of the CAPEX & OPEX budgets for engineering & operational expenses.

  • Setting up targets for the yearly OPEX expenses and closure of invoices within stipulated time.

  • To manage and control all critical spares for all installations as per manufacturer recommendation and inventory.

  • To coordinate with Facility Manager to have all M&E related contracts in place.

 

Operations Management

  • To carry out all engineering & operational procedures as per Infosys policy.

  • To liaise with local authorities (M&E related) for facility related issues and for all statutory related compliances at all times.

  • To liaise with the vendors for maintenance/service practices of M&E contactors to deliver quality work practices in line with the manufacturer recommendations.

  • Ensure proper functioning of the following system in the facility.

§  All Electrical Systems

§  All HVAC system

§  All PAC’s

§  Elevators/Lifts

§  Cafeteria and building electrical and mechanical equipment.

  • To ensure that all maintenance related schedules & shut down in consultations with OEM & Infosys Limited are followed.

  • Daily inspection of logbooks, history card, checklist, escalation charts, OCP & PPM schedules etc. for a better management of engineering systems.

  • To ensure an uptime of 100% and set up the practices to deliver seamless service to Infosys Limited.

  • To update and maintain all statutory documents like CIEG, Calibration (Standard testing laboratories), Lift, Explosive, Pollution Control, etc. related to M&E operations.

  • To formulate the yearly “Environment management plan” as per the ESG goal of Infosys.

  • To formulate the yearly “M &E objectives and Management plan” As per Infosys BCMS policy.

  • Handle small renovation projects from initiation to completion.

  • To ensure and guide the technical staff for closures of all Workplace technical issues in the facility.

  • To adhere to annual M&E maintenance schedule as per timelines.

  • To maintain consistency and achieve 99.5% of timely AHD closure in M&E area.

  • To coordinate with transition team during go-live of new facilities.

  • To participate during emergency evacuation procedure and manage all health & safety issues.

  •  Prepare and collate data related to vendor performance and escalate as required.

  •  Track the usage of Simpliance tool (Annual maintenance contract) as per defined scope.

  •  Ensure 100% adherence to M&E onboarding process.

  •  Ensure monthly meeting is held with team and track the MOM by updating the status.

  •  Ensure all the mandatory trainings are conducted as per schedule. Conduct onboard training for new joiners in M&E.

  • To have a close tab on individual team members core responsibilities and assist Facility manager on performance evaluation.

  • Making of M& E staff shift roster and reviewing M&E, BMS shift schedule.

  • To go for facility walk around and ensure Walk around map & Guide is followed and maintained.

  • To assist Facility Manager in all related ISO standard implementation, Internal, External, audits that happen at Infosys and ensure necessary documentation are done.

  • To ensure maximum compliance is maintained during Internal and external certification audits.

  • Important and VIP client visits to be coordinated with Events team and should be managed without escalations.

  • To manage BMS through online monitoring and data analysis.

  • Follow Infosys incident management system.

 

Additional activities:

  • New initiatives

  • Managing site operations in absence of Facility Manager.

 

Records Management

  • To ensure Daily, Weekly, Monthly, Quarterly, Half Yearly & Yearly records are prepared and sent to the facility manager for all engineering related activities.

  • To update & maintain all records on a daily basis (Logbooks, History Cards, Equipment details, Service Reports, Incident Reports etc.)

 

Reporting Management

  • Daily Report –Consumption report (power), daily work schedule, daily permit tracker, shift handover and takeover report, daily HSD consumption.

  • Weekly report – Major highlights, Weekly R&M tracker.

  • Monthly Report –Energy dashboard, Monthly MMR, fortnightly stock report, Energy bill certification, Major works carried out report & Equipment Status Report, Statutory Compliance Report, All Field service report (AMC), Stack testing, Noise testing.

  • Yearly report – Assist FM in preparation of R&M & Utility projections, LUX monitoring, Transformer testing.

  •  

    Competencies and Experience

    §  To achieve excellence in preventive maintenance programs at site with highest standards and ensure energy conservation practices.

    §  Achieve Key Performance Indicators and service level agreements targets.

    §  Assist Facility Manager in additional task or work assigned.

    §  BTech in Electrical engineering with atleast 7-8 years of work experience in related industry.
