We are seeking a freelance Assistant Producer to support the delivery of a large-scale outdoor light trail experience in Staten Island, New York this fall.

This is a fast-paced, detail-driven role focused on the operational backbone of the production—contracts, vendors, logistics, travel, and financial tracking. You will work closely with Production, Creative, Technical, and Project Management teams to ensure the project stays organized, on schedule, and within budget.

This is a freelance, contract position that runs May - November 2026. The Assistant Producer reports directly to the Producer of this experience. 

The ideal candidate is highly organized, proactive, and comfortable operating across multiple workstreams.

 

Key Responsibilities

  • Assist in drafting, reviewing, and issuing contracts for local vendors and event staff, ensuring all terms are clearly outlined and understood.
  • Prepare detailed itineraries, ensuring all travel plans align with the load-in and load-out schedules and are within budget.
  • Maintain relationships with local vendors to facilitate quick and efficient procurement of necessary items.
  • Monitor and track all event-related expenses, ensuring they align with the established budget.
  • Work closely with the Finance team to reconcile payments with the expense tracker during the load-in phase of the project.
  • Be the main point of contact for vendors regarding invoice and payment queries.
  • Work closely with the Producer and project stakeholders to discuss project updates and resolve any issues.
  • Maintain an organized digital folder for each event, ensuring all relevant documents (contracts, schedules, budgets) are up to date and easily accessible to the team.
  • Implement a systematic approach for document filing, ensuring all materials are categorized and labeled appropriately.
  • Select a crew catering vendor and contract.
  • Aid the Producer in recruiting temporary staff for events, including drafting job descriptions and posting on relevant platforms.
  • Collect health and safety documentation, including risk assessments and insurance certificates, from all vendors and contractors.
  • Ensure all required paperwork is submitted and compliant with local regulations and event requirements.

 

Candidate Profile

The ideal candidate will be:

  • Proactive, solutions-oriented, and able to anticipate challenges before they arise
  • Highly organized with strong attention to detail
  • Comfortable working across teams, time zones, and fast-moving environments
  • Clear and confident communicator with strong stakeholder instincts

 

Qualifications & Experience

  • 2+ years of experience in large-scale live events or entertainment, ideally in a Senior Production Coordinator or Assistant Producer role
  • Strong administrative, organizational, and communication skills
  • Experience managing contracts, NDAs, and vendor agreements
  • Comfortable managing purchase orders, invoices, and payment tracking
  • Proven logistics experience, including travel and accommodations
  • Ability to manage multiple priorities and deadlines under pressure
  • Strong problem-solving mindset with practical, execution-focused thinking
  • Experience building and maintaining cross-functional relationships

Desirable:

  • Experience in outdoor and/or multiple day events.
  • Experience working with major studios or IP holders.
  • Based in NYC or surrounding areas.

 

Additional Information

The start date is as soon as possible. Following the Assistant Producer’s start date, the proposed commitment is as follows:

  • May: 3 days per week, remote
  • June - August : 5 days per week, remote
  • September - October - 5 days per week. As agreed with the Producer, certain days or weeks to be worked in Staten Island, NY at the project site.
  • Nov: 2-3 days per week, remote

This role will be hired on a 1099 contract and paid on a day rate. The anticipated rate for this role is $220 - $280 USD, consummate with experience, to be invoiced and paid bi-weekly.
