The University of Chicago biomedical enterprise houses three entities: the Biological Sciences Division (BSD), the University of Chicago Medicine (UCM), and the Pritzker School of Medicine. The Office of Master’s Education (OME) serves as the central hub for graduate-level academic and professional training within the Biological Sciences Division (BSD). Established in 2019, OME supports a diverse and expanding portfolio of Master’s degrees, certificate programs, and other non-credit educational offerings. Our mission is to deliver high-impact, interdisciplinary programs that equip students with the skills and experiences needed to excel in health care, research, and biomedical innovation.


Job Summary

The job solves complex problems related to the development and implementation of executive and professional degree programming. The job uses best practices to accomplish work in other program/functions within the unit (student affairs, diversity affairs, conference center, etc.) with limited supervision.

The Assistant Director of Training & Education is a strategic, student-centered leader responsible for coordinating the Independent Project curriculum within the MS in Biomedical Sciences (BMS) and for playing a central role in the relaunch and operations of new programs (i.e., MS in Threat & Response Management and the Master of Biomedical Informatics). This position balances high-level program strategy with hands-on operational delivery: student advising, mentor management, faculty support, recruitment support, curriculum logistics, and cross-unit coordination with the Pritzker School of Medicine and other partners.

In addition, the Assistant Director will serve as a senior advisor to the UChicago Clinical Informatics Fellowship by supporting recruitment, application review, didactic rotation planning, and ongoing fellow support. The role requires close collaboration with students, faculty, clinical partners, and administrative teams to ensure smooth program delivery and strong learner outcomes.

Responsibilities

Program & Strategic Support (20%)

  • Utilize and analyze program data to evaluate outcomes, identify opportunities for improvement, and inform strategic planning.

  • Contribute to OME-wide activities: recruitment events, orientations, co-curricular programming, and cross-program initiatives.

  • Collaborate with the Assistant Dean and OME leadership on academic operations and program development priorities, such as specification gathering, engaging stakeholders, and creating evaluation rubrics.

  • Perform other duties and serve as a key stakeholder as needed to support the department’s strategic goals.

MS in Threat & Response Management (TRM) & Master of Biomedical Informatics (BMI) (40%)

  • Support the relaunch and operationalization of TRM and BMI programs, including curriculum execution, scheduling, and program logistics.

  • Coordinate Manage recruitment and admissions support activities: outreach materials, information sessions, applicant communications, and event logistics.

  • Assist with Collaborate on application review workflows and selection logistics for TRM and BMI candidates.

  • Build and develop onboarding materials, orientation programming, and student engagement strategies to support early-term success.

  • Work with faculty and program leadership to integrate didactic and experiential components, including the Capstone experience, and align program milestones with student workload.

Independent Project & BMS (20%)

  • Lead the Independent Project process for BMS students from intake to completion (mentor matching [including industry connections], milestone tracking, progress advising).

  • Serve as the primary advisor for Independent Project students: scope feasibility, timeline planning, and alignment with career goals.

  • Produce and manage mentorship resources, communications, and training materials for faculty and industry mentors.

  • Partner with concentration leads to ensure project work meets curricular goals and academic standards.

  • Implement assessment frameworks for project quality, learning objectives, and mentor–student fit.

  • Support program recruitment and admissions for the BMS program, including application review, committee review participation, and coordinating reviewer workflows.

  • Serve on admissions/selection committees as needed, synthesizing applicant evaluations and helping to recommend admissions decisions and enrollment strategies.

Clinical Informatics Fellowship (Senior Advisor) (20%)

  • Act as a senior advisor and operational lead for the UChicago Clinical Informatics Fellowship, collaborating with fellowship leadership and clinical stakeholders.

  • Support fellowship recruitment and outreach; manage applicant screening, reviewer coordination, and selection logistics.

  • Work with fellowship coordinator on interview scheduling, interviewer assignments, and collection/synthesis of evaluation materials.

  • Plan and coordinate didactic rotations, working with clinical services and instructors to schedule core and elective content.

  • Provide ongoing fellow advising and troubleshooting (onboarding, clinical placement logistics, career guidance).

  • Manage administrative requirements related to clinical placements, credentialing, NDAs, and data-use or compliance needs.

  • Provides in-depth knowledge in developing executive or professional degree programs and/or curriculum. Implements plans for executive or professional degree programs and initiatives and acts as a liaison between the program and program participants.

  • Plans and develops program objectives, long-term goals, and procedures, which requires expanded knowledge and experience in this area. Plans, implements, and evaluates the effectiveness of programs, initiating revisions as needed.

  • Serves as a resource for program information. Resolves problems or questions referred by program staff, University administrators, or other contingencies.

  • Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

Preferred Qualifications

Education:

  • Master’s degree in education, biomedical sciences, public health, clinical informatics, or a related field strongly preferred.

Experience:

  • Minimum 3 years of experience in higher education administration, academic program management, or related roles.

  • Demonstrated experience supporting program launches, relaunches, or significant curriculum changes.

  • Experience advising students and managing mentor relationships; familiarity with experiential learning is strongly preferred.

  • Experience coordinating clinical training programs, fellowships, or clinical rotations is highly desirable.

  • Experience participating in admissions committees, application review processes, or selection workflows strongly preferred.

  • Comfort working across academic, clinical, and industry partners.

Preferred Competencies

  • Proactive, self-directed, and highly organized, with the ability to manage multiple projects simultaneously.

  • Strong communication and interpersonal skills with experience working across diverse populations.

  • Knowledge of academic program development, assessment, and data-informed decision making.

  • Proficiency in educational platforms and administrative tools such as Canvas, REDCap, Microsoft Office, Airtable, and Zoom.

  • A collaborative mindset and team-based approach to leadership and problem-solving.
