Position Summary
Property Services team has the responsibility to operate, maintain and enhance the buildings owned by RMIT University, oversee construction projects and ensure the provision of physical facilities services. Property Services consists of the following business units:

Asset Management Coordinator is responsible for developing, coordinate and implement asset management program. Asset management coordinator supports the capital development and lifecycle programs and also leads on the collection, validation and analysis of data necessary to implement investment and disposal programs. This position also support sourcing and validating contractors in relation with FM team to add values to the business.
Reporting Line
Reports to: Property Business Partner
Key Accountabilities
Manage and oversee the asset management system as it relates to building information models for the purpose of Architectural Space Management and MEPF whole building life cycle management
Being in charge of coordination between facilities team and contract management team regarding setting up, reviewing KPIs for existing and new M&E service contracts
Conduct sample audit to make sure mandatory information and service records are captured in Archibus and recorded properly.
In liaison with Senior Facilities Manager, Contract Services team to source new contractors for M&E maintenance work and to setup Master/Frame contracts to enhance contracts’ performance, management efficiency from Property and add values to the business Coordinate between Vietnam and Melbourne to implement setting up and managing Archibus in Vietnam
Plan work to be accomplished and prepare preliminary budget information, as necessary
Evaluate and report on the performance of in-house maintenance team compared to contractual Service Level Agreements (SLAs) to monitor efficiency and effectiveness
Manage and coordinate the production of planned maintenance works orders from Archibus and issue works formally to each service provider
Provide input to the development of budgeting and ongoing planned property maintenance schedule
Develop complex, data-driven reports such as live data dashboards and deliver presentations on asset utilisation, financial performance, operations, and maintenance.
Develop and maintain asset registers, preventive maintenance schedules and procedures in the system.
Manage and develop data of Central Asset Management System (CAMS) which will be used for Asset Life Cycle Report.
Conduct comprehensive physical CAMS audits across all campuses, involving on-site access to each space to capture detailed asset information (including quantity, condition, and photographic records), followed by large-scale data processing, validation, and system upload for over 12,000 assets per audit cycle and reconciliation with CAMS and Qlik reports
Serve as the primary person responsible for preparing the annual Asset Life Cycle Report (ALCR)
Ensure that lifecycle cost analysis is undertaken to support optimum decision making, specifically for renewal, upgrade and new maintenance programs
Develop and implement effective procedures for the ongoing monitoring of the condition of infrastructure assets.
Coordinate with the Facilities Management team to develop asset data and conduct an annual audit to verify the condition and details of maintainable assets.
Participate in physical site handovers and verify as-built documentation from Capital Works and Facilities Management teams to ensure accuracy, completeness, and compliance with required standards, followed by full asset registration, barcode allocation, preventative maintenance setup, and system data upload.
Provide frequent updates on work progress to the line manager, as this involves extensive system work. Also assist with other assigned administrative tasks
Ensure alignment between asset data and space information by maintaining accurate asset-related inputs within the integrated systems
Assist with information-support tasks related to space matters as directed by the line manager.
Key Selection Criteria
A Bachelor’s degree in relevant field.
More than 5 years work experience, of which at least one year in a facilities maintenance-related organization.
Architectural/ Engineering background/ Ability to use Power BI and Power Query is a plus
A good working knowledge and understanding of asset management principles and practices
A proactive approach to planning, coordination and delivery of work.
Demonstrated aptitude to continuous improvement and a commitment to professional development.
Good communication skills, ability to keep accurate records, proficiency with various computer software, including Excel, Power Point and Word.
English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 6.0 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
For any role, English Language Proficiency may also be proven by showing successful completion of secondary education to a level qualifying to enter university study while being instructed through the medium of English, as per the RMIT University recognised qualification list.
