AR / AP Specialist

Queretaro Operations Full time

Main Responsibility:

Manage the accounts receivable and accounts payable portfolio for North American customers and vendors by ensuring timely collection of payments, accurate processing of incoming invoices, and maintaining up-to-date account information while supporting efficient AR-AP processes within Nilfisk.

Key Responsibilities:

Accounts Receivable (AR)

Communicate daily with clients regarding payments and account status.

Track, analyze, and resolve outstanding payment issues.

Own, report, and proactively escalate any issues preventing customer payments.

Clarify unapplied cash and resolve billing or invoice-related queries.

Identify delinquent accounts that require write-off or placement with a collection agency.

Accounts Payable (AP)

Process incoming invoices daily.

Create and automate templates for invoice coding.

Review coding for accuracy and maintain the coding manual.

Manage local mailboxes and AP queries.

Review and maintain the purchase ledger, including debit and aged balances.

Review payment proposals and ensure accuracy.

Clean up master data (e.g., payment terms).

General / Cross-Functional

Communicate with internal stakeholders to resolve account or invoice issues.

Provide input and verify the accuracy of financial data and transactions.

Assist with external audits.

Align processes and support continuous improvement initiatives.

Experience Required:

  • Experience in accounts receivable and/or accounts payable operations.

  • Experience communicating with customers and vendors in a finance or collections context.

  • Experience managing invoices, payment issues, and account reconciliations.

  • Experience working with financial systems/ERPs and master data.

  • Experience supporting audits or compliance reviews is a plus.

  • Experience participating in process improvements or standardization initiatives.

Qualifications & Skills:

Knowledge of AR and AP processes, including billing, collections, invoice processing, and payment terms.

Strong communication skills (customer-facing and internal).

Ability to analyze payment issues, review coding, and maintain accurate financial data.

Attention to detail and problem-solving skills.

Ability to prioritize tasks and manage workload in a fast-paced environment.

Proactive approach to identifying issues and recommending improvements.

Organizational skills for managing ledgers, mailboxes, and documentation.

Basic understanding of audits and financial controls.
