What You Will Do
The Applications Operations Coordinator supports, analyzes, and optimizes operational programs, primarily utilities, including prior resident balances and collections, deposits and deposit alternatives, and renters’ insurance. This role also supports new applications as they are added to the department’s scope.
The ideal candidate is analytical, detail-oriented, service-driven, and proficient in Excel. This position works closely with onsite teams, vendors, and corporate partners to ensure data accuracy, compliance, and operational efficiency while embodying the CWS Purpose and Values.
What Your Day Consists Of
Utilities & Data Management
- Analyze utility and energy data to identify trends, risks, and improvement opportunities.
- Manage property utility accounts to ensure accurate billing, resident charges, and timely payments.
- Review resident utility charges and coordinate with onsite teams to resolve unit-level discrepancies.
- Partner with utility billing and energy benchmarking providers to resolve issues and optimize performance.
- Support utility hardware repair, replacement, and tracking processes.
- Develop and maintain reports and dashboards for internal and external stakeholders.
- Provide recommendations for energy efficiency and regulatory compliance.
- Conduct account analysis for trash hauler, container, bulk, and composting services to support accurate billing and on-time payments.
Compliance, Audits & Program Support
- Build and maintain audit programs, including sampling methodologies, checklists, evidence standards, reporting, and remediation tracking.
- Support incident response for compliance issues, including triage, corrective action planning, and documentation.
- Assist with cross-functional initiatives related to utilities, collections, deposits, renters’ insurance, and emerging technology programs.
- Communicate application functionality, performance metrics, and best practices to stakeholders.
- Escalate and resolve issues efficiently while collaborating with internal teams and external partners.

- Valid driver’s license and current auto insurance (required)
- 3+ years Multifamily housing or commercial real estate experience (preferred).
- Required experience with Yardi or similar property management systems (required).
- Preferred experience with PayReady, NCS, RealPage, or comparable solutions (preferred).
- Working knowledge of CRM platforms, resident portals, finance/accounting processes, and affordable housing concepts (required).
- Proficiency in Excel; strong skills in Outlook and Word.
- Experience translating regulatory or legal requirements into operational guidance preferred.
- Demonstrated ability to manage multiple priorities with minimal supervision required.
- Bachelor’s degree in Business or a related field (preferred).
